Motion to adopt the agenda -Michael motions to move the SSA Budget review before OSG funding -seconded by Alick -motion to amend the agenda: all in favour, Mike & Alick abstains -motion passes -Motion to adopt the amended agenda -Seconded by Pawrnaa 3. Exec Updates & Action Items 3.1. Senator -next meeting is Monday -new program: engineering & physics -getting rid of supplemental exams -Gavin Mcallan: new chancellor - a lot of negative uproar 3.2. Senior Advisor -n/a 3.3. Internal -merch catalogue will be updated on website 3.4. External -Physics Society wants to join as an SSA Club -OSSA constitution: McMaster doesn’t want a section in the constitution with the transition of responsibility to another university -Mac wants to add penalties for universities that do not pull their weight (André proposed to make this a by-law) -next meeting is in January -Chris Hadfield is not happening -Ziya Tong: 50% of $ in January ($20 000 not including taxes, flight and night stay) -no promo for the event until the contract is signed -possible outside sponsorships -Updated the FAQ and registration for OSG (Dec 1-18 Jan) -150$/person -registration: fill out a form (questions about interest, science, spirit) 3.5. Academic -good turnout for Wine and Cheese -suggestions for next year: -try another room -maybe more tables - have a smaller UROP night -send email reminders -brochures were a good idea (add prof email addresses) 3.6. Social -Trivia: Tuesday, Dec 1st @ 6pm -reps take the lead and make teams/promo -chem club is making the questions and sending us a draft -Grace suggests more tables and change the layout -Party off in second semester -CSA, IPSSA and SSA -Formal: room is booked (Shaw Centre) -committee meeting soon -Party Off 2similar to IPSSA’s karaoke night -Newlywed Game a possibility for this event -Faculty Feud -maybe bringing back Last Lecture 3.7. Bilingualism -translated the Constitution -translated some promotional material 3.8. Promotions -starting promo points -take down past event poster 3.9. Finance -n/a 3.10. Philanthropic -promo Sexy Bingo (MRN basement) starts at 6pm -November 30th: end of the year SFUO Movember campaign (karaoke, shaving) -raised over $1000 with Sweater Sales 3.11. Full Year Logistics -429 of 431 sweaters have arrived -each pickup day has a different colour (Friday is Assorted) -we made a profit of $243 (will be allocated to charity or merch budget) 3.12. President -Joanne met with us to help us promote us with our events -new alumni relations officer wants to meet with exec -grants meeting today 4. Departmental Updates -Aazad: trying to get a PHY intramural team 5. Motion to Allocate Funds to Ontario Science Games -roughly cuts the cost per student in half -seconded by Pawrnaa, -all in favour, Mike and Alick abstain -motion passes 6. Motion to Increase Student Levies -discussion -seconded by Aazad -all in favour, Mike, Alick & Esther abstain -motion passes 7. Coffee House -raised roughly $650 -comments/suggestions -very hot in the basement -very nice prizes -raffle: maybe not call the winners at the very end -a lot of people got in from the side door (better monitoring) -go up to people for raffle sales -UCU promo was not very popular -have tickets on their person -First Years are thinking of running a winter event 8. SSA Annual Budget Review -presented by Mike -motion to approve the budget -seconded by André -all in favour, Mike abstains -motion passes 9. Merch 2016 -gen council sweaters: black crew neck with faculty of science (30-45$) -interest from at least 14 people to make it doable (until Friday to decide) -merch options for winter -3/4 baseball tee, baseball hats, tuques, zip ups, ¾ zips, professional jackets -some merch items might have quotas (set prices accordingly) -sales will be approximately all of Feb 10. Varia -Christina is replacing the current IPSSA communications -Grace got an email from Kaplan: a creative video/essay submission could win an MCAT prep course (by vote) -she will prepare something -Peter suggests to send an email of the agenda (another source to announce meetings instead of emails) -including updates in newsletters/fb/twitter -calendar that has our meeting highlights in the showcase -Fill out your Warm and fuzzies 11. Café Jam -amassé environ 650$ -commentaires/suggestions -très chaud dans le sous-sol -bons prix -loterie: peut-être ne pas annoncer les gagnants à la fin -beaucoup de personnes sont rentrées par la porte du côté (meilleure supervision) -aller voir les personnes pour la loterie -la promotion dans l’UCU n’était pas très populaire -avoir des billets sur sa personne -les premières années veulent faire un événement au semestre d’hiver 8. Révision du budget annuel de l’AÉS -présentée par Mike -motion d’approuver le budget -appuyée par André -tous en faveur, Mike abstient -motion passe 9. Marchandise 2016 -gilets du conseil général : gilet à encolure arrondie avec la faculté des sciences (30-35$) -on a besoin l’intérêt d’au moins 14 personnes pour faire ceci (jusqu’à vendredi pour décider) -options de marchandise pour l’hiver -t-shirt de baseball ¾, chapeau de baseball, tuques, zip ups, ¾ zips, gilets professionnels -certaines marchandises auront des quotas (accorder les prix en fonction) -les ventes seront environ tout le mois de février 10. Varia -Christina remplace la position de communication pour l’AÉÉIPPSSA -Grace a reçu un courriel de Kaplan : une vidéo créative/une soumission de dissertation pourrait gagner un cours préparatoire MCAT (par vote) -elle va préparer quelque chose -Peter suggère d’envoyer un courriel de notre agenda (une autre source d’annoncer nos réunions, à part de courriels) -inclure les mises à jour dans notre bulletin/fb/twitter -calendrier qui a nos procès verbal dans la vitrine -remplir vos « Fuzzies chauds) 11.
