Please pre-register online at www.iotc.org/registration/ as soon as possible.
The Registration desk will operate at The Kenyatta International Conference Centre, from 8h00 to 10h00 on
Wednesday 16 February.
Identification badges will be issued to participants at the Registration Desk. Delegates are requested to check their
entries carefully and to immediately hand in any corrections to the Registration Desk for the Secretariat to make
necessary changes. Delegates are reminded that the final list of participants will be based on information provided by
them at the time of Registration.

Interpretation
The meeting will be held in English or French and simultaneous interpretation in the other language will be provided.
5.

Participants are requested to make their own travel arrangement and fund the expenses incurred.

Participants are advised to make their reservations in the hotel of their choice within the best delays. These
include booking, guarantee and payment of their rooms and other expenses. A booking form to be used for
reservation at the Hilton hotel is in Annex A.

Health Precautions
Delegates are advised to be vaccinated for yellow fever and to carry their yellow fever vaccination certificate. Other
vaccinations are recommended for hepatitis A and B, typhoid in addition to the routine vaccinations against polio and
tuberculosis.
Although Nairobi is generally considered to be Malaria free, the disease is endemic to most part of the country.
However, you are advised to consult your personal physician before your departure.

All foreign delegates are required to possess a valid passport (validity for at least 6 months) to enter Kenya. Delegates
are responsible for arranging their own visa if required.

Transportation
Participants should make their own airport transfers and transports arrangements between their hotels and the meeting
venue.
Taxis can be found at the airport and the cost of transportation for the Airport to the city centre should be around 15
to 20 euros. Taxis are not metered and it is advised to negotiate the price before.
Participants may also negotiate transfers with respective hotels.

The Republic of Kenya is a country in East Africa. Lying along the Indian Ocean, at the equator, Kenya is bordered
by Ethiopia (north), Somalia (northeast), Tanzania (south), Uganda plus Lake Victoria (west), and Sudan (northwest).

Kenya has a tropical climate. It is hot and humid at the coast, temperate inland and very dry in the north and northeast
parts of the country. There is however a lot of rain between March and May, and moderate rain in October and
November. The temperature remains high throughout these months.

The country receives a great deal of sunshine all the year round and summer clothes are worn throughout the year.
However, it is usually cool at night and early in the morning.
The shilling is the currency of Kenya. It is divisible into 100 cents. At the moment (06/01/11) the rate is Euro =
101.565 Kenyan Shilling. All major currencies are exchangeable at banks and hotels

Kindly note that the check-in time is 12:00 noon. For guests arriving early morning and who wish to access

Late CheckOut:

Early Departure Policy
Kindly note that incase of an Early Departure, prior to your reserved check out date, which is advised

However, a fee of 50% of the room rate will apply for an Early Departure which is advised anytime
between 12 noon on the day prior to the new departure date and 12 noon on the new departure date. Early

Santé
Il est fortement recommandé aux délégués d’être vaccinés contre la fièvre jaune et d’avoir leur certificat de
vaccination avec eux. Les autres vaccins recommandés aux Kenya sont les hépatites A et B, la typhoïde en plus des
autres vaccins réguliers contre la polio et la tuberculose.
Bien que Nairobi soit en général considérée comme une zone sans paludisme, la maladie est endémique dans la
majorité du pays. Il est recommandé de demander conseil à votre médecin.

Tous les délégués étrangers doivent avoir en leur possession un passeport valide (validité d’au moins 6 mois) pour

Transport
Les participants doivent prendre leurs dispositions pour les transferts de et vers l’aéroport ainsi que pour se rendre à
la réunion.
Le cout d’un taxi entre l’aéroport et le centre de Nairobi est d’environ 15 à 20 euros. Les taxis n’ont pas de compteur,
aussi il est conseillé de négocier le prix d’avance.
Les participants peuvent aussi organiser les transferts avec leurs hôtels.

Informations générales sur le Kenya
La République du Kenya est un pays de l’Est de l’Afrique. Le long de l’Océan Indien, sur l’équateur, le Kenya se
trouve entre l’Ethiopie (au nord), la Somalie (au Nord-Est), la Tanzanie (au Sud), l’Ouganda et le lac Victoria (à
l’Ouest) et le Soudan (au Nord-Ouest). Nairobi est la capitale.
Le climat au Kenya est tropical. Il fait chaud et humide le long de la cote, et le climat est plus tempéré à l’intérieur
des terres et très sec dans le Nord et le Nord-Est. Il y a cependant beaucoup de plus entre mars et mai, et des pluies
plus modérées entre octobre et novembre. La température reste élevée.

Early Arrivals:
Kindly note that the check-in time is 12:00 noon. For guests arriving early morning and who wish to access
their rooms before this time, they will be required to pre-book their rooms at the same rate from the night
before.
Late CheckOut:
Kindly note that the checkout time is 11:00am. However, guests who wish to have a late checkout will be
subject to availability and the charge will be applied at 50% of the room rate.
Early Departure Policy
Kindly note that incase of an Early Departure, prior to your reserved check out date, which is advised
before 12 noon on the day prior to the new departure date (24 hours), there will not be any fees charged.
However, a fee of 50% of the room rate will apply for an Early Departure which is advised anytime
between 12 noon on the day prior to the new departure date and 12 noon on the new departure date. Early
departures which are advised later than 12 noon on the new departure day, will be charged 100% of the
room charge for one night. Kindly note that in case of an extension (later departure date than original
booking) the room rate MAY change as of the day of extension.
Room Pre-Payment:
 Participants must pre-pay/guarantee their accommodation via US $ wire transfer deposit or credit card for
the full stay.
 Confirmations are subject to availability of rooms and on first come, first served basis.
Cancellation Fees and No-show Policy:
 Any cancellation received prior to 4pm on day of arrival will be accepted at no charge and will be fully
refundable.
 For any cancellations received after 4pm on day of arrival, a one-night charge will be applied as noshow/cancellation fees.
