Administrative Assistant
Classification: Pay Grade 3

Job Summary:
Under the general direction of the Director of Employment Services and the immediate
supervision of the Youth Job Connection Coordinator, the Administrative Assistant
provides administrative, reception and data entry support to the Youth Job Connection
program delivered in the Bank Street Employment Services office in accordance with
policies and procedures established by the Bureau.
Principal Duties:
 Answers phones and directs callers to the appropriate person

Schedules clients that contact the centre

Sorts and distributes mail

Enters data in accordance with the unit procedures

Prepares statistical and other reports as required by Coordinator and or Director

Provides support in processing payments to Youth and Employers

Receives clients and directs to appropriate person

Word processing documents as requested

Photocopying documents as required

Prepares documents for printing

Tracks usage and orders office supplies

Organizes, reviews and updates client files for accuracy in data management system

Ensures closed client files are stored as per unit procedures

Prepares payroll summaries as required

Follows safe work practices as established by the Bureau and the Program
Job Specifications/Qualifications:

Diploma in office administration or equivalent
•
2 years experience working in an office environment
•
Experience working in AP/Payroll environment or processing financial documents
will be considered an asset
•
Excellent verbal communication skills
•
Fluency in French and English essential
•
Proven abilities in word processing and spreadsheets, internet searches
•
•
Knowledge and expertise in computerized systems
Occasional travel to other Employment Services office (Moodie Drive) to fill in and
cover reception and administration duties
