Here is an update on the application procedure for the exchange programs at the University
of Lausanne, academic year 2015-2016:
1)Application documents:
Candidates who are nominated by your institution for an exchange at UNIL in 2015-2016
must complete two application forms that can be downloaded on the following page:

We will need these 2 completed forms to be sent to UNIL together with the student's
nomination/application documents. The address is:

2)Deadlines:
Please note that the deadline for the submission of applications are as follows:
A) academic year 2015-2016 or Fall semester 2015: March 31th
B) Spring semester 2016:
october 15th
We do our best to be flexible with these deadlines: we need at least the studentstobe
nominated for these deadlines(student's name, email address, study field and level
(undergraduate or graduate)) , even if the complete applications are not ready to be sent for
the deadline.
3)Acceptance procedure:
Once we have received the candidates' application documents (or at least when they are
announced and that we knowabouttheir study project for UNIL) and after approval of their
study project at UNIL, we get in touchdirectly with the studentsby emailfor their
acceptance and the different steps they have to carry out. They will first have to register
online on our website, using a weblink provided in the acceptance email they receive: they
will have to select their home university, the kind of agreement under which they have
been selected, the semester(s), the discipline(s)/faculty(ies) they want to study at UNIL,
plus their personal data. There is no online course registration before the students begin the
semester at UNIL. They only have to choose disciplines (free plans in faculties and
disciplines), but no courses at all.
After this online registration, the students will receivea confirmation emailcontaining the
acceptance documents for their exchange at UNIL in PDF format. These documentsact as
originals and can be used for any administrative procedure (study visa).
Please note that the persons responsible for sending the students' applications will be in
copy of the first email for the students' online registration. This email also contains lots of
academic and practical information. Copies of the PDF format official acceptance
documents will not be sent automatically to the partner's study abroad office, but will be
available on request.

6)Intensive french course during the summer and the winter holidays:
Last week, Mr. Marc Pilloud from our International Relations Office (IRO) sent a special
information to several partner universities about our summer and winter intensive french
course options at the "Cours de Vacances"
For partners that didn't get thisinformation, please note thatUNIL offers intensive french
course opportunities during the summer (3 or 6-week programs, with or without ECTS
credits), also available for students that arecoming on exchange forthe Fall semester. A
3-weekintensivefrench course is also offered during the winter break, just before the Spring
semester which startsaround the 15th of february.For more information about theses french

7) French courses during the academic year 2015-2016:
All students coming on exchange to UNIL have a free access to all courses offered by our
School of french as a Foreign Language (EFLE). There are courses available for all levels
in french, from total beginners (level A0) to very advanced (level C2). Students willing to
focus on learning french can take a full-time program at the School of French or a
part-time program (called "Cours Satellite") if they are taking most of their courses in other
disciplines at UNIL. For the complete list of courses offered by the School of French and a

8)Exams at UNIL
We draw your attention to the fact that students coming on exchange only for the first
semester (Fall semester), that is from September 2015 to January 2016,will normally have
to sit exams during the official exam session in January,which takes place from
mid-January to beginning of February. The semester finishes at the end of december in the
academic calendar, but the calendar does not include the January exam session. The only
exception is the Faculty of Arts, including the School of French as a Foreign language,
wherethere is no final exam session at the end of the semester; students are thus free to
leave at the end of december if they follow courses only in the Faculty of Arts and/or the
School of French.
8) Accommodation:
All the students accepted at UNIL will have a room reserved in one of the 8 residences for
students run by the Housing Foundation UNIL/EPFL, the FMEL (Fondation Maisons pour
Etudiants UNIL-EPFL) :www.fmel.ch
We will take care of the room reservations, the students don't have to do any room
registration (they might just have to renew the registration that we have done for them.
More explanations will be given to the students in the acceptance email): they will receive
an email from the FMEL once a room has been found, and will have to accept the offer
(with a deadline for this confirmation) and return the contract for the room offered. We
cannot provide a precise date for the room assignments, but we will inform the students
once we have proceeded with the reservations.

2)Délais de réception des candidatures:
Merci de bien vouloir nous envoyer les dossiers d'application de vos étudiants sélectionné
s selon les délais suivants:

Nous essayons, dans la mesure du possible, d'être flexible avec ces délais, mais il est clair
que nous devons nous organiser pour les visas d'études et le logement des étudiants le plus
tôt possible. Si vous ne pouvez pas nous transmettre les dossiers complets pour ces dates,
merci de bien vouloir nous annoncer les étudiants nominés, un plan d'études provisoire
ainsi que leur adresse électronique. Nous pourrons ainsi commencer les démarches pour le
logement, l'inscription à l'UNIL et le visa d'études, en attendant les documents
d'application.
3)Procédure d'acceptation des étudiants:
Une fois que nous avons reçu les dossiers des étudiants nominés au 31.03 ou au 15.10
(ou que nous connaissons au moins les étudiants nominés et avons leur adresse é
lectronique à ces dates) et après examen des plans d'études à UNIL, nous contactons les
étudiantspar courrielafin de leur expliquer la marche à suivre pour leur acceptation à
l'UNIL dans le cadre de l'échange.
Ils devront aller s'inscrire en ligne pour leur échange sur notre site avec un mot de passe
que nous leur fournirons, et devrons notamment choisir leur université d'attache, le type
d'accord d'échange, la ou les disciplines qu'ils veulent étudier à l'UNIL. Les étudiants
n'ont pas à choisir des cours spécifiques mais uniquement lesdisciplines dans lesquelles
ils veulent suivre des cours. Les inscriptions aux cours se feront au début du semestre, il
n'y a aucune pré-inscription nécessaire.
Une fois cette inscription en ligne terminée, les étudiants recevront un nouveau courriel
contenant les documents officiels d'acceptation en format PDF, avec signature é
lectronique, ainsi que des documents d'information pour l'organisation de leur séjour à
l'UNIL. Les documents officiels en format PDFfont office d'originauxet doivent être utilis
és pour la demande de visa d'études pour les étudiants hors Union Européenne. Nous
donnerons tous les détails aux étudiants concernant les dates des différents courriels à
recevoir et autres procédures.
Les personnes responsables des étudiants sortants dans votre institution seront mises en
copie du premier courriel explicatif envoyé aux étudiants pour leur inscription en ligne.
Par contre, seuls les étudiants recevront le courriel de confirmation avec les documents
officiels d'acceptation. Nous vous enverrons des copies de ces documents d'acceptation
uniquement sur demande.

6)Cours intensifs de français pendant l'été, avant le semestre d'automne 2015 et avant le
semestre de printemps 2016:
L'UNIL propose des cours de français intensifs de 3 et 6 semaines durant l'été (avec
programme de crédits ECTS pour certains cours de 3 et de 6 semaines). Il existe aussi la
possibilité de suivre un cours intensif de 3 semaines avant le début du semestre de
printemps 2016, avec ou sans crédits ECTS. Pour plus d'informations sur ces cours, vous

7)Sessions d'examens à l'UNIL:
Important: les dates officielles du calendrier académique pour le semestre d'automne 2015
(de septembre à fin décembre) n'incluent pasla session d'examens qui a lieu de mi-janvier
à début février 2016. Les étudiants d'échanges qui veulent obtenir des crédits pour les
cours suivis doivent passer des examens durant cette session de janvier 2016. La seule
exception concerne la Faculté des Lettres et l'Ecole de Français Langue Etrangère (EFLE),
où les étudiants n'ont pas d'examens finaux en janvier etpeuvent donc rentrer chez euxfin
décembre 2015.
8) Logement à l'UNIL:
Nous réservons deschambresdans des résidences de l'UNIL à tous lesétudiants accueillis
à l'UNIL dans le cadre d'un échange. Ces résidences sont gérées par la Fondation
Maisons pour Etudiants UNIL/EPFL, la FMEL (www.fmel.ch).
Nous ne pouvons pas garantir l'octroi d'une chambre mais nous faisons tout notre possible
pour que tous les étudiants soient placés. Les étudiants n'ont aucune inscription à faire
pour leur logement, c'est notre service qui s'occupe des réservations. la FMEL contactera
les étudiants par courriel dès qu'une chambre leur aura été attribuée. Les é
tudiantsdevrontensuite signer un contrat pour cette chambre et le retourner à la FMEL
(Attention aux délais pour le contrat à renvoyer!). Nous ne pouvons pas fournir de dates
précises concernant l'octroi des chambres, mais nous tenons les étudiants informés des
actions en cours à partir du mois de juin 2015.
