1. Why this guide ?
In an effort to quickly and efficiently integrate new students into
the world of INRS-Energy and Materials, we have prepared for you
a practical guide. In it, we find the roles of the different
administrative services, a few safety tips as well as some general
help about life outside INRS.
Welcome to you, and we hope you can feel at home!
The CEISME represents ALL students of INRS-EMT, Varennes.
We invite you to contact the representatives of the association for
any questions or concerns you may have, and especially to propose
activities or to promote a project of interest to the student life of
the association.

The CEISME office is near the cafeteria in room 2028. A foosball
table is available as well as a fridge, a telephone and a computer
(admittedly old, but functional).
You can also pick up a beer at the student’s office to drown your
troubles and distract yourself a little with other students.

3. Student Affairs
3.1 General Points
Hélène Sabourin is responsible for the student affairs. Contact
her for :
1. your inscription
2. grant payments
3. guidelines regarding course selection, the "trimester outline and
evaluation" and the submission of your thesis
Program descriptions, admission requirements, the list of activities
and their descriptions, scholarship programs and regulations are
described in detail in the 2nd and 3rd cycle of the INRS-Energy
and Materials yearbook as well as on the INRS website
www.emt.inrs.ca. In addition, at this address, you will have access
to the system IDÉ (Student folder: registration, financial support,
and trimester plan and evaluation). There are also documents such
as guides for INRS students "From admission to certification,"
"Terms and rules for submitting theses to INRS" and "Doctoral
exanm at INRS-Energy and Materials" which are available from
Hélène Sabourin.
Information about the courses can be obtained through the
intranet address interne.emt.inrs.ca (click on the tab "courses").
Helen is at Varennes 2 days a week, on Tuesdays and Fridays. The
rest of the time she is at Bonaventure. Nevertheless, it is possible to
contact at any time by calling 6855. Students who wish the right to
write their thesis in English must submit an application to the
program committee at least one-year in advance (see Hélène
Sabourin).
3.2 Scholarships

INRS students receive their financial support base calculated on a
grid proposed by the central administration of all centers INRS.

The basic amount for a regular student at master's or doctoral
receiving no grant an outside agency are fixed respectively at $4,810
and $5,610 for four months, the qualifying period (this period
covers four consecutive trimesters of the first registration in the
case of the masters student and the eight consecutive trimesters of
first registration in the case of PhD student).
To this amount must be added to an additional income provided by
your teacher, and can go up to $5000. You have to agree with your
teacher when you enter the INRS to determine this amount.

3.3 Access to the center
The back doors overlooking the parking lot and the main entrance
at the front of the building can be used at any time but require the
use of magnetic card access. To open the barriers, to entry and exit,
you also need this card.
To obtain this card, see Ms. Louise Hudon, at the technical services
department. She will provide you with an access card; you must pay
a $20.00 security deposit that you will get back once the card is
returned.
3.4 Transport
A bus service company La Québécoise (C.I.T. Sorel-Varennes)
connects the Longueuil terminal (Longueuil metro station, 1001 de
Sévigny) to INRS.

4. Administration
4.1 Finances
For what concerns the reimbursement of travel expenses and
purchases, contact Nathalie Metras.
4.2 Purchases
All purchases must be applied for and signed by the applicant and
the person directly responsible for all other information, contact
Nathalie Graveline.
4.3 Stationery
Various office items are available: contact reception. Items will be
charged to your teacher.
4.4 Photocopies
Two photocopiers are available at the center (one near the
reception and another on the 2nd floor in the corridor), their use is
reserved for professional purposes. However, ask your teacher if
you wish to make personal copies; they will be charged to their
account. Ask Hélène Tanguay to configure your access card so that
it can be used with the machines. This is essential to use them.

5. Communications
5.1 Email & Mail
Louise Hudon is responsible for opening your email account.
Having difficulty installing and configuring your computer to read
your messages? Request help from Louise.
If your status changes (from intern to gradient student, for
example) think of warning Louise who will place your address in
the right list!
A "post" basket welcomes any mailing that is processed every day
(personal correspondence must be postmarked at your expense.

between the INRS and IREQ and between INRS Energy and
Materials and INRS-Administration is also available.
After your arrival, you will be assigned a mail box which the mail
addressed to you will be placed in. You'll find him in the corridor
in front of the administration. If you receive mail at INRS, that's
where it will be deposited.
5.2 INRS Web Site
A website is available for general information at INRS:

5.3 Telephone and Photocopier
INRS is connected to the telephone network of the University of
Quebec, which enables us to call toll free in several regions of
Quebec. Personal long distance calls must be reported to Louise

Hudon (which will inform you on the amount of long distance
charges). For further details, inquire with Louise Hudon.
To make calls abroad, you will need a special code. Some teachers
have a code for all students while others have to ask for a code for
each student. In all cases, the call charges will be charged to the
teacher or the student (see your teacher).
5.4 Voice Mail
Most phones are equipped with voice mail access through a
personal number (four digits). For more information, contact
Louise Hudon.
5.5 Audiovisual Equipment
The center has the following audiovisual equipment:
- projectors
- Acetates and electronic projectors (projection apparatus for color
video computer)
- TV and video
- Microphone system, micro-cassette, recorder, etc.
- Cameras (digital and regular)
- Etc.
To have access to these facilities, see Louise Hudon.
A dark room can also be at your disposal. However, you will have
to give notice in advance before using it. In addition, you must
provide the chemicals and photo paper and ask for permission for
access from François Poitras.

6. Library
The masters and doctorate reports and thesis’s of (former) INRS
students are available for reading in the entrance of the cafeteria
(leave a note when you borrow a book).
The presentation pamphlet of the Conference of Rectors and
Principals of Quebec Universities (CREPUQ) is issued to all
students (on request from Hélène Tanguay) and allows access to
the following libraries:

This card allows you to borrow all books normally loaned, but does
not grant privileges such as access to a book store closed to the
public, etc.
It is possible to obtain photocopies of books and publications
thanks to interlibrary loans. In addition, it is possible for you to
visit the library IREQ, IMI and CANMET. A computer connected
to the network, allows access to the university library catalog to the

www.bibliotheques.uqam.ca Louise Hudon will be happy to advise
you on the operation of the library (loans, photocopies, etc.). In
addition, at the following address: sdis.inrs.ca, you have access to
the database "Web of Science" for reference research and several
electronic journals.

7. Cafétéria
A large cafeteria is available to all. It is possible to store food in the
refrigerators and warm it up with the microwaves. Those who wish
to have a hot meal can go to the nearby cafeteria at IREQ and use
their meal services at a reasonable price.
Notice: The cafeteria products at IREQ are known to have sleepinducing effects ... arrange to not have a course in the afternoon.
In addition, you will find McDonalds, Subway, Tim Horton and
others in Varennes (about 4 miles from the INRS, at the end of
Boulevard Lionel Boulet).

8. Extracurricular Activities
The CEISME frequently organizes cultural events and recreation.
A collective email will be sent to you to acquaint you to the various
activities. Part of the cost is generally supported by the CEISME.
Several sports (hockey, badminton, volleyball) or other are also
practiced by the center staff (the idea is to have a change of pace
and get to know eachother). As well as all events (Christmas,
Halloween, pool tournament, etc.) are marked by friendly
gatherings. These meetings are organized either by the recreational
club of the CEISME or or by the employees of INRS Energy and
Materials CRIEM.
Marc-Olivier Bussiere ([email protected]) and Joel Maltais
([email protected]) are the official representatives of the
CRIEM.
It is important to note that all members of the CEISME are
automatically members of the CRIEM.
If you have any suggestions for activities or outings, do not hesitate
to let us know!
A reimbursement policy for sports and activities is also in place in
the INRS. You can get 50% of the costs back up to $165/year,
upon presentation of a receipt. This has been put in place to
overcome the lack of facilities in the INRS-EMT. For repayment,
see Nathalie Métras with your enrollment contract.

9. Student Association
The CEISME (Student Committee of INRS Energy and Materials
Science) association represents you as a student and informs you
that all its officers are at your disposal. The purpose of CEISME is
to ensure the quality of academic training, the financial health of
students and the organization of extracurricular activities.

Also note that you're part of the FEINRS which is the association

10. Accommodation and Amenities
10.1 Searching for housing
To find accommodation in Montreal and the south shore of
Montreal, the best way is to see the posters in malls or read the
classified ads in local newspapers: L’Information, La Relève and la
Seigneurie which cover the regions of Boucherville, Ste-Julie and
Varennes.
You can also visit the following websites:

The site PVTistes (pvtistes.net) will give you many tips for your
life in Canada.
For your information, living on the south shore costs slightly less
than Montreal, but can be disturbing to enjoy the nightlife in
Montreal and all the summer festivals. If you depend on public
transportation, subways connecting Montreal to the south shore
stop around 1:30 as well as the bus on the south shore.
In Montreal, some neighborhoods are to be avoided if possible
such as Montreal North and Pointe Saint-Charles as ... not
recommended. Take into account the transport time for you to go
to Varennes.
Important: in Canada, the leases are signed for one year from July
to July, non-cancelable (unless you find a replacement). Colocation
can be useful if you do not want to deal with a lease. On the other
hand, the payment of a deposit is PROHIBITED. Beware of
scams!
Another point to consider: If you choose the south shore, you will
make friends who visit you from Montreal will have to tpay $ 3 to
return to the island...

In Canada, you pay when you call, and also when you get a call!
Take this into account in your choice operator (in the same style,
internet packages often limit the amount of data that you can
download...). Some packages offer unlimited everything (Chat-r,

10.3 Choosing a Bank
In your home country, you have a credit card? Forget everything
you know about credit cards! Here, we will offer you a debit card
(you cannot spend more than you have) with a monthly limited
number of operations.
Some banks offer free accounts to students. Shop online to make
your choice and make sure to look at banking fees, including the
amount of international transfers.

11. Mechanical Workshop
11.1 Operation
- To use a machine you must ask the person in charge of the
workshop for the key: Claude Sirois.
- You have to clean the machine after use and put the padlock and
the key back in the right place.
- When you borrow a tool from the workshop, you must register it
on the sheet provided for this purpose and indicate where you will
use it.
11.2 Security Regulations
– You must always make sure you are familiar with the operation of
the device you want to use and follow the safety rules. For this
purpose, training will be necessary to have access to the workshop.
- You must always wear safety glasses when you work with
different devices.
- You must also wear safety shoes (if you possess) or shoe
enhancements when you work in the workshop (ask Claude Sirois:
[email protected]).
When in doubt, inform yourself with Mr. Sirois or members of
the health and safety committee (see point 12.2) of the center. They
will be happy to answer your questions or refer you to the right
person.
11.3 Formation
If you need training to use one of the machine's in the mechanical
workshop simply present yourself to the workshop, it will be a
pleasure to Claude Sirois help you. If you have any questions about
anything regarding the mechanical workshop, just go to the
workshop.

12. Health and Security
As part of the academic formation by INRS in the center the health
and safety department should not be overlooked and always be
paid attention to. Indeed, good ability to recognize, manage and
prevent sources of danger is essential for future career scientists in
the work environment.
In addition, INRS has its health and safety policy available at the
website
http://www.inrs.ca/universite/gouvernance/reglementsinternes-politiques-procedures. The latter is in accordance with
the health and safety act in Quebec, as well as with its regulations.
All students must comply with the policies of the INRS, as implied
in their signature code of ethics. To achieve this, the new student is
invited to read his rights and duties in this regard. In addition, the
committee of health and safety of the center provides workers and
students with a manual on hygiene, health and safety at the center,
which includes all the technical details of how to behave in specific
laboratory environments. This guide should be read, understood
and signed by each of the newcomers, students as well as staff
members.
Should the behavior differ from either the health and safety
regulations or policies of the center, penalties up to expulsion of
the curriculum or internship can be enforced. It is therefore
important to observe basic safety in the laboratory. Wearing the
coat is mandatory for the vast majority of laboratories; a sign at the
entry is displayed if necessary. To get one, contact Hélène Tanguay
at the reception. This also applies to safety glasses depending on
the job, as well as any other personal protective equipment (PPE),
these items are provided by your teacher.
For information about health and safety at the center, consult the
manual provided by the health and safety committee, contact
Sylvain Gingras or any other party of the health and safety
committee of the center if you have any questions.
