PROGRAMME AND TARGET AUDIENCE
The Preparatory Year of Dutch (VJN) is especially organised for future students of Ghent University or Ghent University College.
This programme will enable them to study Dutch as preparation of their studies in Dutch.
The Preparatory Year of Dutch consists of 6 levels of Dutch for Speakers of Other Languages and an optional course Academic
Dutch. This programme is organised from January until September.
In 2012 the programme starts on 11/1/2012 and finishes on 23/8/2012. Course hours are from 9 to 12 a.m. but can alter due to
changes in the programme. It is therefore possible that classes are held in the afternoon as well.

Level 2: 10/2/2012-9/3/2012
Level 3: 14/3/2012-24/4/2012
Level 4: 27/4/2012-30/5/2012
Level 5: 4/6/2012-28/6/2012
Level 6: 27/7/2012-23/8/2012
Academic Dutch: September 2012 (dates to be determined later) (optional)
There are no classes from 29/6/2012 until 26/7/2012.
ADMISSION REQUIREMENTS
You can only register if you have a written proof that you have been accepted by a Flemish university or an Institute of
Higher Education (academic year 2012-2013). When you have been accepted by Ghent University, you do not have to send us
this written proof. The UCT will check with the student administration of Ghent University whether you have been accepted. (more
information on http://www.ugent.be/en)
Future students with direct access to Ghent University do not need this written proof.

Naturally, you do not need to have prior knowledge of Dutch before you can enrol but you do need basic knowledge of French or
English as intermediate language (required level: A2 of the Common European Framework).
If we have all registration documents (see „Registrations and payments‟), we will send you an email in which you will be asked to
call us at a certain moment (please note that the hours mentioned are Belgian hours, which means that you have to consider the
time difference). We can thus assess your command of French or English. On the registration form, you indicate which intermediate language you use. You also give us an email address. If your command of the intermediate language is sufficient based on
this telephone conversation, we will send you an invoice with which you can pay the course fee. Your registration is valid the moment this fee is on our account after which we will also send you a confirmation of your registration.
We do want to point out that the telephone conversation only assesses your oral skills. You will therefore not receive a certificate
of your command of French or English, based on this conversation.
If you do not speak any intermediate language upon arrival, the UCT will cancel your registration and you will not get a refund.
STUDYING DUTCH
Dutch is a beautiful but difficult language to study. You will have to study hard from January until September to reach the required
level of knowledge in order to do academic studies. It is therefore best to consider this study as a full-time job. We will do our utmost to guide you during your study.
If you have not passed a certain level, you will have to take this level again because it is not possible to proceed with the next level
if you haven‟t passed the previous one.
For the first level you have to take again, you do not have to pay an extra fee. We use the money for level 6 for which we will
strike your registration off. If you want to follow level 6, you can of course let us know and we will register you upon payment.
You can take a level again twice (which means you can follow a certain level maximum three times).
REGISTRATIONS AND PAYMENTS
The UCT accepts registrations until 12/8/2011! The full course fee has to be paid before 15/09/2011.
You can use the registration form available at the registration office of the University Language Centre or on our website
(www.ugent.be). The registration form has to:
be filled in and signed by the course participant.
be sent by ordinary mail (no email nor fax).
include a clear copy of the passport (with a clear photograph)
Include a written proof that you have been accepted by a Flemish University or Institute of Higher Education. If you have been
accepted by Ghent University, you do not need to include a written proof. The UCT will check with the student administration of
Ghent University whether you have been accepted. See „Admission requirements‟.
The APS-certificate is required for students from the People‟s Republic of China.
As course number you fill in NE00 and you indicate whether you want to attend the module Academic Dutch.
All fields are required, unless stated otherwise. An incomplete form will not be accepted.
A registration is only valid the moment the full course fee has been paid (in case of a bank transfer, the moment the fee is
on our account)).
Only the students themselves can register, communicate concerning their registration, or cancel their registration, in writing only
(preferably via email).
COMMUNICATION THROUGH EMAIL
Since the records of the preparatory year of Dutch are complex, we only communicate about them in writing, preferably by email.
This allows us to give you a well-founded answer. We cannot answer questions about a specific record by phone.
If you send us emails, you always have to use your email address which you mentioned on the registration form. From the moment we have given you a student number (which can be found on the invoice) you always mention this number when contacting
us.
FEE AND REDUCTION
The fee is €1,968, course materials included. If you want to attend the module Academic Dutch you pay an additional €205,
course materials included, upon arrival in Belgium. Once the fee has been paid, the UCT will send a confirmation letter, which
can be used to obtain the student visa. Students of Ghent University (academic year 2012-2013) can get a refund if they show us
their valid student card before 1/12/2012. The refund consists of the student reduction of Ghent University (€954 for the Preparatory Year of Dutch and €100 for the module Academic Dutch).
CANCELLATIONS
Students can cancel their registration until 16/12/2011. This will have to be in writing, so by letter, email or fax. Administrative
costs of €100 will be charged. Bank costs have to be borne by the course participant.
When you cancel after this date, a refund is no longer possible!
The Preparatory Year of Dutch is a complete programme, consisting of six levels. You can only cancel the complete programme, not the separate levels.
When you cancel you send us back the original confirmation letter, together with a written statement in which you mention on
which account number (including the IBAN code) we can transfer the refund. You clearly mention the name and address of the
account holder as well as the name, address and SWIFT code of the bank. You also enclose a copy of your passport.
PROBLEMS WITH OBTAINING THE VISA
Obtaining a visa takes time. We therefore strongly advise you to start the visa procedure as soon as possible.
The visa application procedure is your own responsibility. This is outside the scope and responsibility of the UCT and we will
never intervene.
If you arrive at the UCT after the start of the course, for whatever reason, we will no longer consider you as a student of the Preparatory Year of Dutch. This means that you will not get a refund after the course programme has finished and after you have
been enrolled at Ghent University (see fee and reduction).
When you do not have a visa on 15/12/2011, we advise you to cancel (see Cancellations). Not having a visa is not a legitimate
reason to cancel after 16/12/2011 and we will therefore not refund after this date.
FREQUENTLY ASKED QUESTIONS
1. Where can I find the UCT and how can I reach it?

2. Can I get a discount if I come by train to the UCT?
Yes, if you are younger than 26. We will provide you with a form upon your request.
3. Am I already an official student of Ghent University when I am doing the Preparatory Year of Dutch?
No, you are only a student of Ghent University if you have enrolled. This is only possible if you have a sufficient command
of Dutch and if you have obtained the certificate of Dutch (level 5).
4. Can I get a student card of Ghent University?
No, see point 4. However, you can apply for a card that you can use in the university restaurants and the sport facilities of
Ghent University (GUSB). We give you a registration form for it.
5. When and how do I enrol at Ghent University?
You can find all the information about when and how to enrol at Ghent University on www.ugent.be.
You can only enrol if you have proof that you have a B2-level of Dutch. This B2-level equals level 5 at the University Language Centre (UCT). If you have passed level 5, you can collect a certificate at the registration office of the UCT. You will
need this certificate to enrol at Ghent University.
6. Where can I find more information about student rooms?

7. Where can I collect a certificate to prove that I am attending Dutch classes?
You can collect a certificate from the registration office after each module. However, this is not possible before or during
the modules.
8. Can I practise the language lab exercises at home?
You can continue practising these exercises at the Open Learning Centre of the UCT (room Veyrac 1, UCT, SintPietersnieuwstraat 136, 9000 Ghent, ground floor). Each Monday, Wednesday and Friday between 12 and 1.30 PM, a
teacher is present who can help you with specific questions you still might have.
