Das Unternehmen beschäftigt aktuell an 15 Standorten in Deutschland, Dänemark, Italien, Luxemburg, Norwegen, Österreich, Polen, Russland, Schweden, der Schweiz und der Ukraine über 900 Mitarbeiter. Individuelle Lösungen für Financial Services – Von der Idee bis zur Tat. 3 ERKLÄRUNG DES MANAGING DIRECTORS ZUR FORTGESETZTEN UNTERSTÜTZUNG DES GLOBAL COMPACT Der Global Compact der Vereinten Nationen ist das weltweit größte und wichtigste Netzwerk für Corporate Social Responsibility. zeb, die europaweit führende Strategie- und Managementberatung spezialisiert auf Unternehmen der Financial-Services-Industrie, ist im April 2015 dieser Initiative beigetreten. Damit haben wir uns verpflichtet, den UN Global Compact und seine zehn Prinzipien aus den Bereichen Menschenrechte, Arbeitsnormen, Umweltschutz und Korruptionsbekämpfung in die Unternehmensstrategie, die Unternehmenskultur und das Tagesgeschäft zu integrieren. Mit größter Überzeugung werden wir auch in den nächsten Jahren kontinuierlich daran arbeiten, die Ziele des Global Compact im Rahmen unseres Einflussbereiches aktiv zu fördern und so unserer gesellschaftlichen Verantwortung gerecht zu werden. Neben der Einbindung der zehn Prinzipien in die tägliche Arbeit der zebUnternehmensgruppe ist die Erstellung eines jährlichen Fortschrittsberichts für uns verpflichtend. Dieser Bericht soll unser Engagement für die Stakeholder und die allgemeine Öffentlichkeit transparent machen. Er umfasst die Beschreibung konkreter Aktivitäten des Unternehmens zur Umsetzung der Prinzipien sowie die Messung und Bewertung von Ergebnissen anhand definierter Indikatoren. Ich freue mich, Ihnen im vorliegenden ersten Fortschrittsbericht die Details und Ergebnisse unserer selbst gesteckten Ziele und Maßnahmen zu erläutern sowie einen Ausblick auf unser weiteres Engagement zu geben. MENSCHENRECHTE Prinzip 1: Unternehmen sollen den Schutz der internationalen Menschenrechte unterstützen und achten und Prinzip 2: sicherstellen, dass sie sich nicht an Menschenrechtsverletzungen mitschuldig machen. COMMITMENT Die Einhaltung von unmittelbar geltendem Recht und Gesetz sowie ethisch-moralisch einwandfreies Handeln ist für zeb und seine Mitarbeiter selbstverständlich. Der Code of Conduct (CoC) des zeb legt die hierfür notwendigen Grundregeln fest. Sie gelten verbindlich für alle Mitarbeiter des zeb und seiner Tochtergesellschaften sowohl im Umgang mit Kunden sowie Geschäftspartnern als auch im Umgang mit Mitarbeitern und Kollegen − ungeachtet ihrer Tätigkeit oder Position im Unternehmen. Als international agierende Beratungsgesellschaft gilt: Sofern in einem anderen Land strengere Bestimmungen als in dem Code of Conduct gelten, werden die dort geltenden Regeln angewendet. In allen relevanten Bereichen wird der Code of Conduct durch Richtlinien (z. B. für Datenschutz, Informationssicherheit oder Geschäftsreisen) konkretisiert. Die Richtlinien sollen helfen, sich in Zweifelsfällen korrekt zu verhalten. Alle zeb-Richtlinien sind für jeden Mitarbeiter zugänglich im Intranet hinterlegt. UMSETZUNG zeb erbringt als Beratungsgesellschaft Dienstleistungen für die Finanzindustrie, vorrangig in Deutschland und im krisenfreien europäischen Ausland. Deswegen sind Probleme hinsichtlich Menschenrechtsverletzungen allein vom Arbeitsgegenstand und -umfeld eher unwahrscheinlich. Der Code of Conduct dient als Basis und liefert als verbindliche Leitlinie Orientierung für alle Mitarbeiter, Kunden und Geschäftspartner des zeb. In einem ersten Schritt war es daher wichtig, alle relevanten Kontaktpunkte über die Einführung, Inhalte und den Geltungsbereich des Code of Conduct zu informieren: • Die Akzeptanz des Codes of Conduct und die damit erfolgte Anerkennung der Menschenrechte durch unsere Lieferanten messen wir mithilfe der prozentualen Rücklaufquote, der sog. Lieferantenbescheinigung • Über diverse Informationskanäle (Intranet, Internet, E-Mail, Gehaltseinleger, Ansprache des Managing Directors) wurden insbesondere die Mitarbeiter über die Einführung informiert. 5 2014 2015 Veränderung Lieferanten 0/59 11/59 n/a Mitarbeiter 0/909 904/904 + 100 % Tabelle 1: Akzeptanz des Code of Conduct Zudem werden alle Mitarbeiter nach landesspezifischen Gegebenheiten auf den Datenschutz verpflichtet. Das Thema Datenschutz wird durch einen kompetenten externen Datenschutzbeauftragten besetzt, dem ein interner Datenschutzkoordinator als Unterstützung zur Verfügung gestellt wird. Für die Mitarbeiter ist an geeigneter Stelle im Intranet der Kontakt einzusehen, sodass Fragestellungen direkt und schnell adressiert werden können. Die Mitarbeiter werden in regelmäßigen Abständen zum Datenschutz geschult (im Rahmen der Schulung für IT-Sicherheit). Bei der letzten Durchführung im Jahre 2013 wurden 100 % der Mitarbeiter nachweislich geschult. Neue Mitarbeiter werden ebenfalls im Datenschutz geschult. Um die geltenden Datenschutzbestimmungen laufend zu optimieren und Informationssicherheit zu gewährleisten, lässt zeb sich extern beraten, schult seine Mitarbeiter und führt regelmäßig neue Technologien ein, wie z. B. aktuell den „Secure.Data Room“ zum Schutz von Kunden- und zeb-Daten. Um den eigenen Mitarbeitern einen sicheren Arbeitsplatz zu bieten, führt zeb die gesetzlich geforderten Unterweisungen durch. Darüber hinaus befinden wir uns in einem regelmäßigen und projekthaften Austausch mit dem Arbeitssicherheitsausschuss, der Maßnahmen zur physischen und psychischen Gesunderhaltung unserer Mitarbeiter erarbeitet und umsetzt: • • • • So bietet zeb z. B. für die Berater, die mit dem Dienstwagen ihre Kundenreisen durchführen, regelmäßig Fahrsicherheitstrainings an. Mit der Einführung eines „Employee Assistance Program“ ermöglichen wir es unseren Mitarbeitern, bei Bedarf ein Lebenslagen-Coaching sowie eine 24Stunden-Hotline auf anonymer Basis in Anspruch zu nehmen. Im Rahmen des Betrieblichen Gesundheitsmanagements sind wir bemüht, unsere Mitarbeiter mit diversen Angeboten zu gesunderhaltendem Verhalten zu motivieren. ARBEITSNORMEN Prinzip 3: Unternehmen sollen die Vereinigungsfreiheit und die wirksame Anerkennung des Rechts auf Kollektivverhandlungen wahren sowie ferner für Prinzip 4: die Beseitigung aller Formen der Zwangsarbeit, Prinzip 5: die Abschaffung der Kinderarbeit und Prinzip 6: die Beseitigung von Diskriminierung bei Anstellung und Beschäftigung eintreten. COMMITMENT zeb verurteilt jegliche Form von Zwangs- oder Kinderarbeit, auch bei seinen Kunden und Geschäftspartnern. Offenheit, Toleranz und Wertschätzung sind fester Bestandteil der Unternehmenskultur von zeb. Das Unternehmen duldet keine nicht auf sachlichen oder objektiven Gründen beruhende unterschiedliche Behandlung wegen des Geschlechts, der Rasse, einer Behinderung, der Herkunft, der Religion oder der Weltanschauung, des Alters oder der sexuellen Identität. Ebenso wenig toleriert zeb eine Belästigung von Mitarbeitern und jegliche Form von Mobbing. Betroffene haben ein Recht, von ihren Führungskräften dazu angehört und ernst genommen zu werden. Für neutrale und vertrauliche Gespräche stehen zeb-intern Ansprechpartner im Sinne des Allgemeinen Gleichbehandlungsgesetzes (AGG) zur Verfügung. Darüber hinaus nimmt der Chief Compliance Officer vertraulich Hinweise auf mögliche strafrechtsrelevante Sachverhalte oder andere (auch interne) Regelverstöße entgegen und schützt die Identität des Hinweisgebers. Der Prozess ist so ausgelegt, dass eine anonyme Meldung jederzeit möglich ist. zeb erwartet, dass alle Mitarbeiter mit Kunden und Geschäftspartnern fair umgehen und deren Rechte sowie deren Privatsphäre respektieren. Eine nicht auf sachlichen und objektiven Gründen beruhende unterschiedliche Behandlung wegen des Geschlechts, der Rasse, einer Behinderung, der Herkunft, der Religion oder der Weltanschauung, des Alters oder der sexuellen Identität wird von zeb nicht toleriert. Durch die aktive Unterstützung der „Charta der Vielfalt“ dokumentiert zeb seine Haltung zu Diversity und zur Förderung von Vielfalt im Unternehmen. UMSETZUNG Zwangs- und Kinderarbeit spielen erfreulicherweise im Umfeld der erbrachten Dienstleistungen von zeb keine Rolle. Nichtsdestotrotz wirken wir durch den Code of Conduct darauf hin, dass Kunden und Geschäftspartner auch nach diesen Prinzipien handeln. 8 Wünsche, Ideen und Fragen der Mitarbeiter nimmt zeb sehr ernst. Sie sind Basis für Innovationen, Effizienz und damit letztlich auch Zufriedenheit und Wertschätzung der Mitarbeiter. Ein betriebliches Vorschlagswesen und entsprechende Inboxen der verschiedenen Abteilungen sichern, dass Ideen gehört und berücksichtigt werden. Heterogene Arbeitsgruppen ermöglichen eine breite Sicht und Akzeptanz von eingeführten Vorhaben. Wichtige Entscheidungen werden immer über ein Sounding Board hinsichtlich ihrer Tragfähigkeit überprüft und vorbereitet. Durch Roadshows, die bei strategischen Neuausrichtungen oder allgemeinen Änderungen durchgeführt werden, geht das Board in den direkten Austausch mit den Mitarbeitern. Mit anschließenden Puls-CheckBefragungen überprüft zeb die Richtigkeit von eingeführten Maßnahmen und kann bei Bedarf reagieren und Adjustierungen vornehmen. Über weitere Formate, die die Vernetzung und den Austausch von Mitarbeitern fördern, denken verschiedene Teams nach. So wird aktuell an einem Relaunch des Intranets gearbeitet, welches Elemente mit moderierten Foren, virtuellen Marktplätzen oder Gruppen-Chat-Funktionen bieten soll. Durch die Anzahl an offiziellen Austauschangeboten messen wir die Kollaboration innerhalb der Organisation: 2014 2015 Veränderung zeb.Roadshows 0 400 + 400 zeb.Uni 670 700 + 30 Tabelle 4: Anzahl Teilnehmer Durch eine innerbetriebliche Meldestelle sichert zeb, dass Mitarbeiter im Falle einer Ungleichbehandlung einen diskreten Ansprechpartner finden, der ihr Anliegen vertrauensvoll bearbeitet. Durch die Anzahl der gemeldeten Beschwerden kann zeb überprüfen, wie fair sich die Mitarbeiter behandelt fühlen. Im Jahr 2015 haben sich hieraus keine relevanten Fälle ergeben. zeb ist in der Vergangenheit bereits mehrfach als „Great Place to Work“ und aktuell als „Top Recruiter“ ausgezeichnet worden und beweist damit, dass nicht nur fachliche Expertise, sondern insbesondere auch ein partnerschaftlicher Umgang zu den herausstechenden Merkmalen der zeb-Unternehmenskultur gehören. Durch die regelmäßige Analyse der Bewerberdaten und der Verweildauer auf den verschiedenen Karrierestufen konnten wir bislang keinerlei Benachteiligungen erheben. Ungeachtet dessen möchten wir die Frauen durch Netzwerkangebote zu mehr Austausch und kollegialer Beratung ermutigen. Als Ziel hat sich zeb vorgenommen, mehr Frauen für das Consulting zu gewinnen und in Führungspositionen zu beschäftigen. In einem von zeb veranstalteten OnlineExpertenforum wurde das Thema „Als Frau ins Consulting“ mit 285 Teilnehmerinnen rege diskutiert. Auch zukünftig möchte zeb zu diesem Thema mit Frauen in den Austausch gehen und verschiedene Foren und Informationsveranstaltungen dazu anbieten. UMWELTSCHUTZ Prinzip 7: Unternehmen sollen im Umgang mit Umweltproblemen einen vorsorgenden Ansatz unterstützen, Prinzip 8: Initiativen ergreifen, um ein größeres Verantwortungsbewusstsein für die Umwelt zu erzeugen und Prinzip 9: die Entwicklung und Verbreitung umweltfreundlicher Technologien fördern. COMMITMENT Unsere Geschäftstätigkeit im Beratungsgeschäft beansprucht Energie und natürliche Ressourcen. Wir haben uns zum Ziel gesetzt, die negativen Auswirkungen zu minimieren. UMSETZUNG Mit verschiedenen Maßnahmen – vom sparsamen und ökologisch sinnvollen Umgang mit Energie, Wasser und Papier über grüne IT und den Einsatz erneuerbarer Energien – wo möglich – bis zum Ersatz von Dienstreisen durch Audio- und Videokonferenzen – verbessern wir kontinuierlich unsere Ökoeffizienz. Jeder Mitarbeiter des zeb ist angehalten, die Klimabilanz durch sein eigenes Verhalten in der täglichen Arbeit zu verbessern. zeb führt regelmäßig einen externen Energieaudit durch, dessen Vorschläge zur Verbesserung der Energiebilanz zeitnah kommuniziert und aktiv umgesetzt werden. zeb bekennt sich im Rahmen des „UN Global Compact“ zu einer nachhaltigen Entwicklung zu nationalen und internationalen Standards zur Nachhaltigkeit. zeb ist als klassische Unternehmensberatung an erster Stelle Dienstleister für andere Unternehmen. Im Vergleich zu klassischen Produktionsbetrieben haben im Verhältnis dazu unsere Dienstleistungen einen beschränkteren Einfluss auf die Umwelt. Dennoch haben wir uns zum Ziel gesetzt, möglichst umwelt- und klimaschonend durch die Reduzierung von Energie und Ressourcen zu handeln und damit unsere Umweltauswirkungen auf ein Mindestmaß zu reduzieren. Unser Geschäftsmodell verlangt viele nationale, europäische und zunehmend auch internationale Reisetätigkeiten unserer Mitarbeiter zu unseren Kunden vor Ort. Die Mitarbeiter sind gehalten, diese Reisen möglichst umweltverträglich zu planen und durchzuführen. Zur Vermeidung von Geschäftsreisen wird jeweils der Einsatz von Collaboration-Werkzeugen wie „Skype for Business“ und Videokonferenzen als Alternative geprüft, um unseren ökologischen Fußabdruck so niedrig wie möglich zu halten. Die in 2015 überarbeitete und zeb-weit verabschiedete und verbindliche Reiserichtlinie gibt unseren Mitarbeitern hierbei Hilfestellungen. Alle Mitarbeiter können die für sie unter 12 Kosten-, Nutzen- und Umweltaspekten optimale Transportart wählen; sei es Flug, öffentliche Verkehrsmittel inkl. Bahn, Mietwagen, Dienstwagen, Taxi, Car Sharing oder die Nutzung unserer Firmenfahrräder. Zusätzlich gibt es für die Reisenden bei verschiedenen Strecken verbindliche Vorgaben zur Nutzung von öffentlichen Verkehrsmitteln anstelle von Pkw oder zur Nutzung von Bahnreisen anstelle von Flugreisen. zeb-Bahnreisen erfolgen dabei grundsätzlich immer klimaneutral. Dies wird durch ein Ökostromzertifikat der Deutschen Bahn jährlich bestätigt. Bahn 2014 2015 Veränderung 5.755.019 6.374.608 + 10,77 % Tabelle 8: Bahnreisen (in Personenkilometer) Zur gänzlichen Vermeidung von Geschäftsreisen wird darüber hinaus der Einsatz von Audio- und Videokonferenzen – wo sinnvoll und möglich – empfohlen. Hierzu sind die zebStandorte mit einer Videokonferenzanlage ausgestattet. In einem derzeit laufenden Projekt werden die bestehenden Videokonferenzanlagen bis Ende 2016 durch neue Anlagen mit erweiterten Collaboration-Möglichkeiten ersetzt. Bisher nicht angebundene Standorte im Ausland werden in die Ausstattung explizit mit einbezogen. Durch die Verknüpfung der stationären Videokonferenzsysteme mit dem auf allen zeb-PC installierten IP-basierten Video- und Telefonkonferenzsystem ist kollaboratives Arbeiten ohne Reisetätigkeit und ohne Funktionseinschränkungen ortsunabhängig möglich. Die zeb-Dienstwagenflotte verfügt mit einem durchschnittlichen Wagenalter von 1,7 Jahren über eine sehr moderne Motorenausstattung im Hinblick auf Benzinverbrauch und CO2-Ausstoß. Die CO2-Emissionen konnten daher im vergangenen Jahr um 6,2 % gesenkt werden. Darüber hinaus wird im Unternehmen die Elektromobilität gefördert. So kommt für interne Dienstfahrten des zeb ein Elektromobil zum Einsatz. Des Weiteren können als zeb-Dienstwagen auch Elektroautos bestellt werden. Ein erster Schritt in 2015 war die Durchführung eines Energieaudits gemäß DIN EN 16247-1. Aus den Ergebnissen haben wir verschiedene Maßnahmen abgeleitet, die sukzessive umgesetzt werden. Eine wesentliche Maßnahme ist dabei der Austausch der Beleuchtung durch LED-Technik oder der Einbau von Präsenzmeldern. Bei Neu- und Umbauten sowie Ersatzbeschaffungen wird der Energieverbrauch besonders berücksichtigt. Als weiterer Schwerpunkt wurde ab 2016 die Stromversorgung der deutschen Standorte auf Ökostrom aus erneuerbaren Energien umgestellt. Das heißt, die Belieferung mit Strom erfolgt künftig CO2-neutral. Im Rahmen unserer Green-IT-Maßnahmen wird mit einem externen Dienstleister derzeit ein dezentrales Rechenzentrum aufgebaut. Dabei erfolgt auch eine Erhöhung des Anteils an virtuellen Servern. Darüber hinaus achten wir bei der Ersatzbeschaffung von IT-Geräten auf die Verbesserung der Energieeffizienz. Im Ergebnis konnte der Stromverbrauch am Hauptstandort in Münster um fast 5 % gesenkt werden. Tabelle 11: Stromverbrauch (in kWh) 14 Nachhaltiger Einkauf und regionale Produkte zeb hat sich neben dem nachhaltigen Einkauf von Papier aus verantwortungsvoll bewirtschafteten Wäldern (FSC-Zertifizierung) das Ziel gesetzt, den Papierverbrauch im Unternehmen zu senken und damit die Umwelt zu schonen. Durch verschiedene Maßnahmen, wie z. B. der Digitalisierung des Rechnungsverkehrs – wo möglich –, soll der Papierverbrauch trotz Unternehmenswachstums weiter gesenkt werden. Beim Einkauf von Getränken und Obst setzen wir auf regionale Produkte, bei Obst auf biologischen Anbau. Hierdurch können neben einer umweltschonenden Produktion Transportwege reduziert werden. Die Beschaffung des Kaffees erfolgt nach den Qualitätsvorgaben der deutschen Röstergilde. An allen zeb-Standorten gibt es eine strikte Mülltrennung von Papier, Kunststoff und Restmüll. Die Toner der Kopier- und Druckgeräte sowie die Elektrogeräte werden fachgerecht recycelt. Kommunikation Um bei allen Mitarbeitern trotz der realisierten Fortschritte auch weiterhin ein größeres Verantwortungsbewusstsein für die Umwelt zu erzeugen, werden die Themen Nachhaltigkeit und verantwortliches Handeln auch kommunikativ begleitet. KORRUPTIONSBEKÄMPFUNG Prinzip 10: Unternehmen sollen gegen alle Arten der Korruption eintreten, einschließlich Erpressung und Bestechung. COMMITMENT Zur Philosophie von zeb gehört es, Aufträge nur im fairen und lauteren Wettbewerb zu erlangen oder zu vergeben. Darüber hinaus ist es untersagt, Vereinbarungen zu schließen oder Verhaltensweisen abzustimmen, die eine Verhinderung oder Beschränkung von Wettbewerb bezwecken oder bewirken. UMSETZUNG zeb ist sich der schweren Schäden bewusst, die durch Wirtschaftskriminalität und Korruption entstehen. Daher wendet sich zeb aktiv gegen alle Formen von Wirtschaftskriminalität und toleriert keine Form der Korruption, sei es Bestechung, Bestechlichkeit oder sonstige Vorteilsgewährung. Entsprechende interne Richtlinien geben allen zeb-Mitarbeitern Handlungsorientierung. Weiterhin sollen Kundengeschenke mit einem Wert von über 35 Euro nur in speziellen, begründeten Ausnahmefällen eingesetzt werden. Diese Kundengeschenke werden getrennt registriert und überwacht. Das Verbot von Insidergeschäften bleibt bestehen, bis die Insiderinformation veröffentlicht wurde oder nicht mehr relevant ist. zeb stellt ebenso hohe Anforderungen an ein verantwortungsbewusstes und regelkonformes Verhalten seiner Dienstleister wie an sich selbst. zeb verpflichtet daher seine Dienstleister auf den vorliegenden Code of Conduct und prüft im Rahmen der laufenden Geschäftsbeziehung regelmäßig – soweit angemessen und möglich – seine Einhaltung. In einem ersten Schritt haben wir alle Dienstleister mit einem Umsatzvolumen von über 100.000 Euro über den Code of Conduct informiert und diese gebeten, zu zentralen Aussagen des Code of Conduct Stellung zu nehmen sowie die Akzeptanz des Code of Conduct insgesamt zu bestätigen. Vergleiche hierzu Kapitel 1. 17 zeb verfolgt und praktiziert eine von Ehrlichkeit und Transparenz geprägte Zusammenarbeit mit allen zuständigen Behörden der Finanzdienstleistungsbranche sowie den Einrichtungen der Aufsicht und des Gesetzgebers. zeb legt Wert auf die Einhaltung der rechtlich vorgesehenen Verfahren bei Ermittlungen und anderen behördlichen Aktivitäten. In doing so, we committed to integrating the UN Global Compact and its ten principles from the areas of human rights, labor standards, environmental protection and anticorruption policies into our corporate strategy, corporate culture and daily business. It is with great conviction that we will continue to work on actively promoting the aims of Global Compact as far as we can and by doing so, to fulfill our social responsibility. Beyond incorporating the ten principles into the daily work of the zeb group of companies, the creation of an annual progress report is compulsory for us. This report should make our commitment clear to stakeholders and the public eye. It includes the description of specific activities of the company for implementing the principles and the measurement and assessment of results by means of defined indicators. HUMAN RIGHTS Principle 1: Businesses should support and respect the protection of internationally proclaimed human rights and Principle 2: make sure that they are not complicit in human rights abuses. COMMITMENT The compliance with directly applicable law as well as impeccable actions from an ethical perspective is a matter of course for zeb and its employees. zeb’s code of conduct (CoC) defines the necessary basic rules therefor. They are binding for all employees at zeb and its subsidiaries both in communicating with clients and business partners as well as with employees and colleagues—regardless of their activities or positions in the company. As an internationally operating consulting company, the following applies: if stricter provisions than in the code of conduct are valid in another country, they have to be adhered to. The code of conduct is specified in all relevant areas by means of guidelines (e.g. for data protection, information security or business trips). The guidelines provide indications as to the correct behavior in cases of doubt. All zeb guidelines are accessible for all employees on the Intranet. IMPLEMENTATION As a consulting company, zeb provides services for the financial industry, mainly in Germany and in other European crisis-free countries. For these reasons, the subject and field of our work is rather unlikely to involve issues of human rights violations. The code of conduct serves as the basis for all employees, clients and business partners of zeb and provides binding rules for behavior. The topic of data protection is managed by a competent external Data Protection Officer, who is provided with support by an internal data protection coordinator. Employees can view the contact person on the respective position on the Intranet page so that issues can be addressed quickly. Employees are trained at regular intervals on data protection (as part of a training on IT security). At the last round of trainings in 2013, 100% of employees were proven to be trained. New employees are also trained in data protection. In order to optimize the applicable data protection rules and ensure information security, zeb takes external advice, trains its employees and regularly implements new technologies, e.g. currently “Secure.Data Room” for protecting both client and zeb data. zeb conducts legislative assessments to provide a secure workplace to employees. Beyond this, we are in a regular and project-based exchange with the occupational health and safety committee, which develops and implements measures for protecting the physical and mental health of our employees: • • • • As an example, through this process, zeb offers driver safety training to consultants who conduct customer travel with their company cars. Through the introduction of an „Employee Assistance Program, we offer our employees an anonymous service for life situation coaching and a 24 hour hotline as needed. LABOR STANDARDS Principle 3: Businesses should uphold the freedom of association and the effective recognition of the right to collective bargaining as well as upholding Principle 4: the elimination of all forms of forced and compulsory labor, Principle 5: the effective abolition of child labor and Principle 6: the elimination of discrimination in respect of employment and occupation. COMMITMENT zeb condemns any kind of forced or child labor, also with regard to its clients and business partners. Openness, tolerance and appreciation are integral parts of zeb’s corporate culture. Through the active support of the “Charta der Vielfalt” initiative, zeb documents its compliance with diversity targets and promoting diversity in companies. Nevertheless, through our code of conduct, we are working in a way that our clients and business partners also act according to these principles. zeb takes employees’ wishes, ideas and questions very seriously. They are the basis for innovations, efficiency and thus finally also satisfaction and appreciation of the 26 employees. A company suggestion box as well as respective inboxes of the various departments ensure that ideas are collected and considered. Diverse work groups allow a broad view and acceptance of introduced measures. Important decisions are always checked and prepared by a “sounding board” regarding their feasibility. Road shows are held to present strategic repositioning or general changes and facilitate direct exchange between employees and the board. With successive “pulse check” surveys, zeb reviews the correctness of introduced measures and can react as required and make adjustments accordingly. Various teams are working on further formats to promote networking and exchange between employees. For example, a relaunch of the Intranet page is being prepared. It will offer elements with moderated forums, virtual marketplaces or group chat functions. Through the number of reported complaints, zeb can review how fairly employees feel they have been treated. In 2015, there were no noteworthy cases. In the past, zeb has often been honored with the “Great Place to Work” award and currently holds the title of “Top Recruiter”. These awards prove that—besides specialist expertise— especially a cooperative behavior belongs to the key features of zeb’s corporate culture. Through regular analyses of applicant data and lengths of employment at different career levels, we have not been able to find any disadvantages. Nevertheless, we want to encourage women towards more exchange and peer consulting through networking opportunities. zeb has set itself the task of gaining more women for consulting and to employ a greater proportion of women in executive positions. In an online expert forum presented by zeb, the topic of “Consulting as a women” was hotly discussed by 285 female participants. Also in future, zeb wants to enter discussions on the topic of women and will offer various forums and information events. ENVIRONMENTAL PROTECTION Principle 7: Businesses should support a precautionary approach to environmental challenges, Principle 8: undertake initiatives to promote greater environmental responsibility and Principle 9: encourage the development and diffusion of environmentally friendly technologies. COMMITMENT Our business operations in the consulting business require energy and natural resources. We have set ourselves the goal of minimizing the negative implications. IMPLEMENTATION We continuously improve our ecological efficiency with various measures: from an economical and ecologically reasonable use of energy, water and paper, to green IT and the use of renewable energies—whenever possible—up to the replacement of business trips through audio and video conferences. zeb employees are encouraged to improve the climate footprint through their own behavior in daily work. zeb regularly conducts an external energy audit—its proposals for enhancing the energy balance are immediately communicated and actively implemented. As part of the “UN Global Compact” initiative, zeb commits itself to national and international standards on sustainability within a sustainable development. As a traditional consultancy firm, zeb is first and foremost a service provider for other companies. In comparison to traditional manufacturing, our services have a limited impact on the environment. However, we have set ourselves the objective of working as environment and climate-friendly as possible by reducing energy and resources consumption and thus keeping our environmental impact to a minimum. Our business model requires that our employees undertake numerous national and increasingly international business trips to our clients’ sites. Our employees are encouraged to plan and take their trips as sustainably as possible. We are reviewing the use of collaboration tools such as “Skype for Business” and video conferences as an alternative to undertaking business trips in order to keep our ecological footprint as small as possible. The zeb travel policy, which was reviewed in 2015 and adopted and committed to throughout zeb, helps our employees when they have questions. All employees can select the optimal transportation means while considering cost, benefit and environmental 30 aspects—they can choose between flights, public transportation (incl. trains), rental cars, company cars, taxis, car sharing or the use of company bicycles. In addition, several particular trips have binding rules for the use of public transportation instead of cars or for the use of train travel instead of flights. zeb’s train travel is always climate-neutral. This is confirmed by a green electricity certificate awarded to Deutsche Bahn each year. For this purpose, zeb offices are equipped with video conferencing systems. The existing video conferencing systems are being replaced by new systems with expanded collaboration features; the current replacement project will be finished by the end of 2016. Offices outside of Germany without video conferencing systems will be included. Through the linking of stationary video conferencing systems with the IP-based video and telephone conferencing systems installed on all zeb computers, collaborative work is possible without travel or function restrictions regardless of location. With an average car age of 1.7 years, the zeb company car fleet is fitted with very modern motors in terms of their fuel consumption and CO2 emissions. The CO2 emissions were thus reduced during the last year by 6.2%. Furthermore, electric mobility is being pursued in the company. For zeb’s internal company trips, an electric car is used. Electric cars can also be ordered as zeb company cars. As a first step, we conducted an energy audit according to DIN EN 16247-1 in 2015. We derived various measures from the results, which will be implemented successively. Exchanging lighting through LED technology or installing motion detectors represent significant measures. For new buildings, modifications or replacements, the energy consumption will be given particular attention. As a further focus, from 2016, the mains power was switched at German offices to green power from renewable energies. That means that power will be supplied with CO2 neutral electricity. As part of our green IT measures, a decentralized data center is being established with an external service providers. This also involves increasing the proportion of virtual servers. Furthermore, when replacing IT devices, we take note of energy efficiency. As a result, the total power consumption at our main headquarters in Münster were able to be reduced by almost 5%. Different measures, such as digitalization of invoicing—whenever possible—are to further decrease the consumption of paper despite corporate growth. We rely on regional products when buying drinks and fruits, in case of fruits, we additionally opt for organic farming. Coffee is purchased in compliance with quality specifications of the German coffee roasters’ guild. All zeb offices follow strict waste separation rules of paper, plastic and residual waste. The toner cartridges of copiers and printers as well as electrical devices are properly recycled. ANTI-CORRUPTION Principle 10: Businesses should work against corruption in all its forms, including extortion and bribery. COMMITMENT The achievement or assignment of orders in a fair competition is part of zeb’s philosophy. Furthermore, it is not allowed to conclude agreements or agree on behavior aiming at or causing a prevention or restriction of competition. IMPLEMENTATION zeb is aware of the severe damage caused by white-collar crime and corruption. Thus, zeb actively opposes all kinds of white-collar crime and does not tolerate any form of corruption, be it bribery, corruptibility or granting of any other undue advantages. Respective internal guidelines provide an orientation for all zeb employees. Furthermore, gifts for clients to the value of more than EUR 35.00 are only used in special, reasoned exceptional cases. Insider information must not be passed on to third parties for respective actions. The prohibition of insider deals is valid until the insider information will be published or will not be relevant anymore. zeb puts the same high requirements on a responsible and correct behavior of its service providers as for itself. Thus, zeb regularly compels its service providers to comply with the code of conduct and assesses its compliance within the ongoing business relationship— as far as appropriate and possible. As a first step, we have informed all service providers with a sales volume of more than EUR 100,000 about the code of conduct and have asked them to comment key statements of the code of conduct as well as to confirm the compliance of the code of conduct at large.
