January 11, 2012 Deadline for Ontario secondary school students to submit completed hardcopy and online applications to the OUAC. Note: Applications received after this date will still be processed by the OUAC and distributed to the universities. However, specific university deadlines will apply. May 8, 2012 Target date for Ontario universities to receive, from the OUAC, second‑semester midterm grades and interim grades for full‑year courses. May 29, 2012 The latest date by which all secondary school applicants shall expect a response from an Ontario university. Such a response will be one of: 1) an offer of admission; 2) a refusal; or 3) a deferral pending the receipt of specific additional information. June 1, 2012 The earliest date by which Ontario universities may require a response to an offer of admission and a financial commitment of any kind (e.g., registration deposit, residence deposit, etc.) from an Ontario secondary school student. All other admissions‑related elements including scholarships, other forms of student assistance or financial incentives, and offers of residence are considered part of the offer of admission. Guidance counsellors are responsible for providing applicants’ academic data to the OUAC. Applicants must check this information carefully to ensure that there are no errors or omissions. Applicants may apply to as many Ontario universities/programs as they wish; however, they are limited to a maximum of three program choices at any one university (including affiliates). Some universities may further limit the number of programs to which candidates may apply. Applicants can make changes to their application information online at www.ouac.on.ca/ouac-101/. They do not complete a new application or pay another application fee. All fees are non‑refundable. Applicants need to make note of their access codes (OUAC Reference Number and PIN). The Application Service Le Service de demande The Ontario Universities’ Application Centre (OUAC) is a not‑for‑profit, centralized application service for applicants to Ontario universities. The OUAC is operated by the Council of Ontario Universities (COU) to facilitate the process of applying to first‑year undergraduate programs (bachelor’s degrees) and to advanced standing in these programs. Each school is completely autonomous in reaching its own admission decisions, with the OUAC providing only the application processing service. Applicants should use the OUAC 101 application if they meet all of the following requirements. • They are taking courses during the day at an Ontario secondary school (this includes students returning for second semester and graduated students returning to upgrade one or more courses) and have not, at some point, been out of secondary school for more than seven consecutive months. • They will have received or expect to receive their OSSD with six 4U/M courses at the end of the current year. • They are not currently registered at a postsecondary (college/university) institution. • They have not completed one academic year or more of postsecondary education. • They are applying to a diploma program or a firstyear degree program at an Ontario university. If applicants do not satisfy all of the above criteria, they should contact their guidance counsellor or the OUAC. The OUAC has been processing applications on behalf of universities in Ontario since 1971. To apply for admission to a university undergraduate program and/ or a non‑degree‑granting program in Ontario, your application must be processed through the OUAC. The OUAC forwards your application information to the university(ies) of your choice. By applying through the OUAC, you agree that the university(ies) of your choice will obtain the personal information you have provided to the OUAC and that the OUAC will collect, use, disclose and otherwise manage your personal information as set out in the Declaration and Notice of Collection, Use, Disclosure and Treatment of Personal Information Provided as Part of Your Application to Ontario University(ies) Undergraduate Program(s) (101). Security and Confidentiality Sécurité et confidentialité When receiving data from the secondary schools and applicants, and when transmitting this data to the selected Ontario universities, the OUAC takes extensive measures to ensure the security of its website and, therefore, your personal and academic information. Applicant Reports Bilans des candidatures OUAC Acknowledgements Depending on the time of year and the volume of applications submitted to the OUAC, it may take up to three working days to process online applications. An acknowledgement email is sent immediately after the application has been submitted. Applicants may log in to their online application to review and to change previously submitted application information and to respond to any university offers of admission. Please note: If any changes are made to the original online application, no further acknowledgement emails will be sent. Applicants must log in to their account to verify the changes. University Acknowledgements Most universities will acknowledge receipt of application information and will provide applicants with a list of the specific supporting documents they require in order to make an admission decision. Applicants should contact the universities’ admissions offices directly if, after a reasonable amount of time, they have not received communication from the universities they have selected. Applicants should include their OUAC Reference Number in all communication with the universities and on all supporting documents sent to the universities. Livret complémentaire de la demande en ligne – 2012 9 Offers of Admission: Online Responses Répondre aux offres d’admission en ligne The OUAC does not make any admission decisions, evaluate applications or receive detailed information from the university with regard to offers made to applicants. Application files are evaluated individually at each university and admission decisions are made by the universities. Offers are made at different times throughout the processing cycle, depending on the university and program. The universities will communicate offers of admission, including terms of any conditional offers and appropriate response instructions, directly to applicants. Applicants are able to accept (or for some universities, decline) offers of admission from the Ontario universities by logging in to their online application at www.ouac.on.ca/ouac-101/. They will require their OUAC Reference Number and PIN/password. When the universities have evaluated an applicant’s file, an admission decision will be mailed directly to the applicant. When applicants are offered admission, they will be provided with the appropriate instructions for responding. Applicants who choose to respond to their offer of admission online should not mail a paper response to the OUAC. Applicants are responsible for meeting the deadline dates stipulated by the universities. Most universities require that responses to offers of admission be made online. When responding online, applicants must click the “Submit” button and follow the steps in order to send their response to the OUAC. A screen displaying the applicant’s confirmation number will appear immediately after successfully submitting a response. This screen will include a summary of all changes/ responses made within that session. Applicants should make note of the confirmation number (in writing or by printing the screen) and keep it in a safe place. Successfully submitted responses to offers of admission will be processed within one business day. Applicants should log back in to their account to verify their response(s) after one business day. Important: An online response instruction video is available at www.ouac.on.ca/ugrad-tutorials/. Online Application Companion Booklet – 2012 Accepting an offer of admission from one university will not cancel applications to other universities and/ or programs. However, applicants may have only one acceptance of an offer on file at a time. Before applicants can accept a subsequent offer online, they must first cancel the previously accepted offer. Note: When applicants submit a subsequent paper acceptance, the OUAC will automatically cancel the previously accepted offer. Applicants who wish to attend a university that has offered them admission but whose response deadline has expired, or who wish to re‑accept an offer they previously cancelled or declined, should contact the university’s admissions office to see whether they will still be considered and, if so, whether a new offer can be issued. Remember, many university programs reach capacity. The later that applicants wish to change universities, the more difficult it is likely to be to make changes. Applicants who are concerned about accepting or declining an offer of admission should contact the university’s admissions office in order to discuss their needs. The university will try to accommodate applicants as much as possible. Note: Please do not send any applications for residence or deposit cheques to the OUAC. These items should be sent directly to the universities. Residence deposits do not replace an official response to an offer of admission through the OUAC. This payment service is offered through a bank’s website or telephone banking department. Applicants should contact their bank for further information. Please note: It may take three to four business days for the OUAC to receive internet payments. The OUAC will provide applicants with their bill payment account number upon submission of their completed application. Applicants will require this account number in order to submit their payment. Applicants who have applied to the OUAC previously should revise their existing bill payment account number to the new bill payment account number provided. The OUAC’s bill payment name is “Ontario Universities’ Application Centre” or an abbreviated version of this name. Cheque or Money Order Cheques or money orders should be in Canadian funds and made payable to the “Ontario Universities’ Application Centre”. Include the OUAC Reference Number on the face of the cheque or money order. Payment must be submitted with the application Remittance Payment Form, which is generated when an applicant selects a cheque or money order payment option. Postdated cheques and foreign cheques (outside of Canada) are not accepted. There is a charge of $25 for non‑negotiable cheques. Note for international applicants: Only an international money order or bank draft in Canadian funds that includes the bank address, and has the bank number, transit number and account number encoded on the bottom will be accepted. Schools will notify students in late October or early November when these letters are available. The letter will provide applicants with their School Number, Student Number and Personal Identification Number (PIN), all three of which are required in order to log in to their online application. 4. Applicants should have their VISA, MasterCard or American Express information handy if they plan to pay the application fees online: card number, expiry date and the credit card verification value (CVV) will be required. Alternatively, applicants may pay using online or telephone banking, or by cheque or money order. Applicants should see the Summary of Fees section on page 12 for details. 5. Applicants must complete the online application at www.ouac.on.ca/ouac-101/ and pay the applicable fees by the stipulated deadline dates. After Submitting an Application Immediately after applicants submit their online application, a screen displaying their OUAC Reference Number will appear. This number is a unique identifier and will be required whenever applicants communicate with the OUAC or the universities. Applicants should make note of this number (in writing or by printing the screen) and keep it in a safe place. Using their OUAC Reference Number and PIN, applicants can access their submitted application information and make any necessary changes online. These include changes to personal information (e.g., name and address corrections) and university/program selections. Applicants will also respond to offers of admission from Ontario universities online. Only guidance counsellors can do this. You should continue to complete and submit your application, then let your counsellor know about the problem and ask that it be corrected. 4. How can I make sure that the OUAC has received my application after I have submitted it? As soon as you submit your online application, a screen will appear that displays your OUAC Reference Number. You will also receive an acknowledgement email, immediately after submitting your application, which confirms receipt of your application at the OUAC (assuming that you have provided a valid email address on your application). In addition, you will be able to use your OUAC Reference Number and your PIN to log in to your online application one business day after you have submitted and paid for your application (see Question 5). What should I do? Your guidance counsellor will be able to provide you with your OUAC Reference Number and the original PIN that you used to log in to your application for the first time. If you provide the correct Reference Number and PIN, you will be allowed to create a new password that you can use to access your file in the future. You should request that your secondary school guidance counsellor forward all marks obtained for the current year directly to your university selections. Please note that each secondary school may have their own rules in arranging how these transcript requests are sent. Therefore, you should review these rules with your secondary school. I transferred to a different school after first semester (or halfway through the school year). Who lets the OUAC and the universities know about this change? If you apply for admission while at one school and then transfer to a different school, please request that your new school advise the OUAC of this change. Your new school should provide the OUAC with the new school name, the School Number (MIDENT), your new Secondary School Student Number (SSSN), if applicable, and your Ontario Education Number (OEN). The OUAC will then notify your university choices. Please remember to inform the OUAC if your mailing address has also changed. 6.
