To reinforce our team, we are looking for a HR Operations Specialist (100%) The Job’s mission Provide first class HR administrative support and counsel to the IMD Community with respect to Swiss legislation by defining relevant HR processes, templates, while continuously looking for processes improvements to enable a proactive response from the HR Team. Working in close collaboration with HR Business Partners, the HR Operations Specialist is responsible for the coordination of monthly payroll with our external partners and for the maintenance and development of our associated HR systems and databases. Key activities & accountabilities Manage the administrative life-cycle of employees, including but not limited to: - On-boarding: offer letters/contracts, work permits, relocation coordination, various insurances enrolments, induction meetings, etc.; - Daily administration: contract amendments, attestations, insurances declarations, absence management, HR systems maintenance, correspondence, recruitment support, etc.; - Departures: exit meetings, work certificates, unemployment forms, etc.; - Maintain employee records both physically and electronically. IMD – www.imd.org Page 1/2 Manage HR Operations: - Manage monthly payroll preparation and coordination with our external payroll providers; - Ensure compliance with local, cantonal and federal regulations and ensure appropriate HR policies are in place; - Support the HR annual processes such as salary review, variable compensation, etc.; - Maintain HR portal on the IMD intranet; - Publish monthly KPIs as requested. Act as a trusted advisor to employees on questions related to their employment (insurances, work permits renewal, payroll, etc.); Be the team’s reference person for questions related to HR systems and databases; Play an active role in HR processes and tools continuous improvement (streamline the existing, propose new ones when appropriate, issue and review templates, checklists, etc.); Work in close collaboration with other departments (Finance, IT, Campus Services, etc.) to ensure efficient and proactive information sharing as required; Participate or lead ad hoc HR projects; Assist HRBPs in the administrative follow-up of recruitments (response to candidates, database maintenance, etc.); Represent HR at the “Fun@IMD” team in charge of organizing social events; Act as role model for IMD’s Values (Open, Collaborative, Pioneering). Ideal profile “Certificat d’Assistant/-e en Gestion du Personnel” or equivalent qualification/experience in HR 3-5 years’ experience in an HR Administration/Operations role with payroll experience Global mind-set through living and working in a multicultural environment Expertise in Swiss labour law, social insurances and immigration legislation and practice Flexible team player High service orientation with great attention to details Excellent analytical and organisational skills Strong technology interest and capabilities (including high command of MS Office) Fluent in English and French with excellent written skills How to apply If you have the above skills and would like to work in our challenging environment, please send your complete application file (letter of motivation and resume in English, copies of your work certificates and diplomas) to [email protected] IMD – www.imd.org Page 2/2
