Introduction
HealthCareCAN is pleased to provide the Online Guide to Canadian Healthcare Facilities for your use. This version of
the Guide enables you to browse facility contact and statistical information and create lists of healthcare facilities and
their staff.
The Online Guide contains all contact and statistical information published in the print edition of the Guide to
Canadian Healthcare Facilities. This document provides an overview of the functions and capabilities of
HealthCareCAN’s Online Guide.
How to Order HealthCareCAN’s ‘Online Guide’
1. To order the Online Guide, please visit www.healthcarecan.ca and select the ‘Guide’ tab.
2. Once your order has been completed, you will receive two emails: one to confirm your account information,
and a second to confirm that we have received your order.
3. Sign and return a copy of our License Agreement. Please note that your order will not be approved until we
have received a signed copy of the License Agreement by fax (613-241-5055) or email
([email protected]).
4. Within 48 hours, you will receive an email confirming that your order is complete and access has been
granted. You may now access the Online Guide.
How to Access HealthCareCAN’s ‘Online Guide’
1. To access the Online Guide, please visit www.healthcarecan.ca.
 Note: Once payment and a copy of our License Agreement have been received, it may take up to 48
hours for your order to be processed and approved.
 Important: All customers must sign and return our License Agreement before your order will be
processed. Please submit a signed copy of the License Agreement by fax (613-241-5055) or email
([email protected]).
2. Select the ‘Guide’ tab and ‘Online Guide’.
3. Login using the username (e-mail address) and password you selected when ordering the Online Guide
4. Once you have logged in, you will see the home screen and five options:

The major capabilities of the Online Guide are as follows:

Browse by Province
The ‘Browse by Province’ option enables you to locate a facility or group of facilities by province or city. Select the
province and city of your choice. A list of all facilities in the selected city will be displayed.
Once a city has been selected, you can:
1. Select a facility to view contact, statistical and staff information (Note: For more information, see ‘How To’)
2. Produce a printer friendly list of each facility listed
3. Export a list of each facility listed (Note: For detailed instructions, see ‘How To’)
Basic Search
The ‘Basic Search’ enables you to quickly locate a facility or staff member by keyword. You can perform a search by:
1. Facility name
2. Staff member name
A list of each facility or staff member name matching your search criteria will be displayed.

Advanced Search
An advanced search can be performed using the filters below.
1. Once the appropriate filters have been selected, click ‘Search’ and a list of matching facility records will be
displayed.
2. You can:
a. Select a facility to view contact, statistical and staff information (Note: For more information, see
‘How To’)
b. Produce a printer friendly list of each facility listed
c. Export a list of each facility listed (Note: For detailed instructions, see ‘How To’)
LHIN/RHA Search
1. To search for a LHIN/RHA by province, select a ‘province’ and ‘organization type’ (LHIN or RHA). (Note: For a
list of all facilities owned/operated by a specific LHIN/RHA, use the ‘Advanced Search’ filter ‘Member of’.)
2. Click ‘Search’ and a list of matching records will be displayed.
3. You can:
a. Select a LHIN/RHA record to view contact, statistical and staff information
b. Produce a printer friendly list of each LHIN/RHA listed
c. Export a list of each LHIN/RHA listed (Note: For detailed instructions, see ‘How To’)

Staff Search
1. You can search for a staff member(s) by:
a. Facility name
b. Given and/or family name
c. Department
i. To export a list of staff members by department, select one of more departments from the
drop down menu. For an accurate search, leave all other fields blank. (Note: To select two or
more departments, hold the ‘Ctrl’ key while selecting each department.)
ii. Click ‘Search’
iii. A list of the facilities that match your criteria will be displayed
iv. You can:
1. Produce a printer friendly list of each facility listed
2. Export a list of each facility listed (Note: For detailed instructions, see ‘How To’)

Export (Complete Version only)
1. Select ‘Export these facilities’
2. Select ‘Save’, then ‘Save as’
a. Note: If you select ‘Save’ only, the file will be saved to your ‘Downloads’ folder by default. By selecting
‘Save as’, you are able to choose the save location of the CSV file.
3. Select the desired save location for the CSV file.
4. Save the CSV file.
a. Note: You may rename the CSV file. The default name for the file is ‘cha_betterwebsites_ca’.
5. Open Microsoft Excel.
6. Select ‘File’ > ‘Open’.
7. Ensure that you have selected ‘All Files’ instead of ‘All Excel Files’.

Note: The file you are locating is a CSV file. By default, Excel will display only ‘All Excel files’.
8. Select and ‘Open’ the CSV file you saved in Step 4.
9. The following message may appear. Select ‘Yes’.
10. A ‘Text Import Wizard’ will appear. Select ‘Delimited’ as your original data type and ‘UTF-8’ as your file origin.
Click ‘Next’.

11. Select ‘Tab’ and ‘Comma’ from the list of delimiters. Click ‘Next’.
12. Select ‘Finish’.
View a Facility Listing
Record information is displayed in three tabs. Each piece of information is described in detail below.
Admin Details
Here you will find contact and statistical information for the facility, including (when applicable):
 Top Note(s): Top notes are found in brackets at the beginning of each facility listing. When applicable, they
include:
o Clientele served (i.e. Elderly)
o Affiliation (i.e. Affiliated with the University of Ottawa)

Year Opened
Designation/Facility Type: A general description of the facility (i.e. Acute Care Hospital), followed by a
specialty, if applicable (i.e. Cancer)
Address: A physical address for the facility
Main Phone Number
Main Fax Number
Email Address
Website
Teaching Status: Indicates whether or not a facility has a teaching component. Yes or No.
Accreditation: Is the facility accredited? Yes or No.
Member of the provincial hospital association: Is the acute care facility a member of the province’s hospital
association? Yes or No.
Member of the provincial LTC association: Is the long term care facility a member of the province’s long term
care association? Yes or No.
Operating Budget
Acute admissions: Number of annual acute admissions for the previous fiscal year.
LTC admissions: Number of annual LTC admissions for the previous fiscal year.
Average acute stay: The number of days an in-patient remains in the facility
Average LTC stay: The number of days a resident remains in the facility
Births: The number of annual live births for the previous fiscal year.
Paid staff (FTE): Number of full time equivalent staff (FTEs)
Bottom Note(s): Bottom notes are found in brackets at the beginning of each facility listing. When applicable,
they include:
o Special equipment
o Additional types of care offered by the facility
o Reference to an affiliated facility
o Former name of the facility
o Ownership/operation: The Regional Health Authority (RHA) or Local Health Integration Network (LHIN)
affiliated with the facility
Beds
Bed counts for each bed type in the facility. See Appendix A for a list of the abbreviations used to bed types.
