Disclaimer
• Although the organising committees have been put in place since some time, the
time spent on the organisation of the biennale has been relatively low given various
constraints (winter conferences, absences, ..) and the fact that the biennale is
considered rather far in time
• What is shown here are some general ideas that have to be refined through
discussions within the various committees and with the various groups and
instances of the lab
• Suggestions are welcome!

Overall layout
• Monday 03/10: • arrival at Pisa airport mid afternoon (15h30). Short visit of Pisa, then => hotel
• Tuesday 04/10:
• morning session: 8:45-13:15 with 30’ coffee break [or 2 breaks of 20’ and 10’] (4h00)
• afternoon session: 15:30-20:00 with 30’ coffee break (4h00)
• Wednesday 05/10:
• morning session: 8:45-13:15 with 30’ coffee break (4h00)
• afternoon session: 15:30-20:00 with 30’ coffee break (4h00)
• Thursday 06/10:
• morning session: 8:45-13:15 with 30’ coffee break (4h00)
• afternoon: visit of Virgo (1h30) + free afternoon/dinner in Pisa

Practical organisation
• Flights
• Monday 03/10: 13:50 (Orly) => 15:30 (Pise) (easyjet)
• Friday 07/10: 16:05 (Pise) => 17:45 (Orly) (easyjet)
• tickets bought for most of the participants
• Accommodation
• PUMA opened 11/03-25/03
• 2 offers received (Grand Hotel Continental: 30k euro; TH resorts: 75 keuro)
• contract w/ Grand Hotel Continental to be signed soon (needs to be slightly rewritten
due to recent change in law regarding guarantee deposits)
• Visit of Virgo (afternoon of 06/10)
• contacted Virgo’s outreach team (Severine Perus) - not possible to organise a single visit
for the whole lab (max 60) => either limit attendance (simpler) or split into two groups of
40-45 persons. Latest news: in October Virgo should be either in commissioning (=> not
allowed to enter the main building) or, in the optimistic scenario, in data taking (=> no
visit possible). In the best scenario (commissioning) Virgo proposes a seminar sur Virgo
+ entering one of the two Virgo arms
• Local transport
• asked quote to local company for transports Pisa<->Tirrenia (03/10 and 07/10) and
Tirrenia->Cascina->Pisa->Tirrenia (06/10)

Ideas for the agenda
• General guidelines:
• no ateliers, no posters (negative feedback from previous editions)
• let as many people as possible talk about their activities
• allocate some time (not too much..) to external guests • Two alternative formats in the past two editions

• Introduction and conclusion by Gregorio
• intro (tuesday): 30’, the big picture (physics goals of LPNHE, interplay between groups)
• conclusion (friday): 1h (11h30-12h30), summary. Re-transmission in amphi Charpak
• Research
• prefer 2011 format: many contributions from the various groups, with different speakers,
including
• presentation of the physics case and of the group(s)
• results+3 year perspectives of each group
• short talks (5-10’) on technical developments (8 potential candidates identified)

Ideas for the agenda
• Students
• foresee short presentation (10’) by each student (~18 in total)
• 1st year: on their M2 stage
• 2nd year: on 1st year activities (typically: qualification task for LHC students)
• 3rd year: on their research activity (thesis)
• total time ~3h (~half on tuesday, in particular 1st year students, half • Services/support
• short presentation of the groups, with summary of evolution of manpower in the recent
years and discussion of future evolution
• comment améliorer le support en period de non-croissance des effectifs?
