Congo, Brazzaville Visa Application Requirements and
Instructions

Purpose of Travel: Business
The Term "The Congo" is referring to two separate nations having classifiable differences with each
other in terms of their "friendliness" with the USA. Although The Democratic Republic of the Congo has
been traditionally the one "less" friendly there has been a recent shift in their political relations with the
west. Commonly a distinction is made by referring to the Republic of The Congo as Brazzaville, its
Capital and Kinshasa the Capital of The Democratic Republic of the Congo. Hopefully this distinction is
helpful to our travelers.
Requirements
1. Passport
a. Submit your original United States Passport. You must submit your actual passport, (not a
copy) as your visa will be issued within the pages of your passportbook.
b. Your passport must be signed. Do not worry about the safety of your passport; our company
has never lost a passport in 34 years and we take great care to make sure it is handled with
the utmost of care.
c. Your passport must have at least 6 months of remaining validity from your date of entry
into this country.
d. You must have at least 3 adjacent blank visa pages (you cannot count the four in the very
back of your passport as these pages are reserved for governmental use. RJR can assist you
with renewing your current passport.
2. Photographs
a. Submit 2 recently taken passport photos
b. If submitting more than one picture, be sure the others are a replication of the first one and
not different types of pictures. Do not submit pictures with eyeglasses or sunglasses, as they

3. Application Forms
RJR offers special form preparation services to ensure that your forms are filled out propoerly and
ready to submit to the governing body of the country you are applying for a visa to. For a Congo,

Note:
Pay close attention to the expression of dates (mm/dd/yy), as most governments do not do it the
way the United States does it. If this is not correctly entered and accurate, it can result in a
suspension of your order.

5. Business Letter
BUSINESS LETTER OUTLINE
Note: This letter is required of all countries when applying for a business type or class
visa, whenever the traveler is representing a US firm or organization while traveling
abroad, regardless whether it is their own company or Sole Proprietorship.
It must be written on company letterhead (original), not written by the applicant but rather in
their behalf and in most cases Fax’s or Scan are not acceptable.
We have found the following general outline to be a helpful guide when composing the business
letter. While it is very important that the traveler is issued the appropriate or legal visa, some
words or terms can be used to avoid confusion at the Consulate. For example: the word “Work”
means to most people that your job is sending you to this country and it is part of your Work
Description, so many people say this word in these letters or upon entry into the country they are
traveling to, but actually it means that the applicant intends to live and pay taxes in the country
they are requesting the visa from and will result in a denial of the visa. It is better to use words
like “attending meetings” or “negotiating” or in some way developing US bases business while in
their country.
Here are the SPECIFIC REQUIREMENTS which must be included in these letters:
1. Introduce the traveler and their designation with your company i.e. Executive, Sales
Manager etc., and their title, how long they have been employed by your company and a
brief description of their job.

is. This allows the Consulate to contact your company should they have additional

questions.
Detailed explanation of the role or function the applicant shall be doing in this country, how
long they will be there and why this individual has been chosen for this assignment.
A Statement that the applicant (State the applicant’s Full Passport Name and Passport
Number) will NOT BE pursuing any behavior which would be against the general guidelines
of the standard business visa. This would include “Work’ or “Technical Assistance or
Training” while in this specific Country from whom the visa is being sought.
Name and address and email and telephone number of the Company and individual being
contacted in the country issuing the visa, not the USA.
Expected dates of entry and exit from the country.
A clear statement that your company shall assume full financial responsibility in your behalf
while traveling to this country, during your stay and eventual return to the USA.
This letter must be on Original Letterhead with Original Signatures and in some cases like
Brazil it needs to be Notarized.

6. Invitation of Sponsorship
This is a formal invitation which normally can be emailed as a PDF, which is on the stationery of
the company inviting you to their country. It must contain the following information:
1. Must be written on the letterhead of the company inviting.
2. This is a formal invitation address to the individual being invited and the company he/she
represents in the USA along with the address.
3. Applicant’s full passport name and passport number, as well as the passport issuance and
expiration date.
4. Explain in detail the purpose of applicant's travel and why this company needs their
services.
5. List the dates of visit and period of stay (Be specific).
6. Statement that their company is willing to be morally and financially responsible for this
traveler while in their country.
7. Signed by owner or appropriate authority.
8. Seal. Most countries provide the inviting sponsor a registration seal of that country’s
foreign ministry etc., normally this appears near or next to the signature.
9. Dated and signed.
