Invitation to EMEYF All-Age Gathering 30. July – 06. August at Haus Venusberg in Bonn, Germany The European and Middle Eastern Young Friends will celebrate its 30ish birthday this coming summer and you're invited to join us for a week in Bonn with your family and/or friends. Whether you've been involved with EMEYF at the very beginning, are new to our group or just a Friend who wants to find out more about what EMEYF is, this invitation is open to everyone interested. The topic of the week will be "The Adventures of Life" and questions such as: "What was most important to you as a teenager? How do the changes of young adulthood shape who we are? Does our faith change as we mature? How do we feel about death and what comes beyond?" will challenge us to reflect on our past and future, while at the same time allow us to learn from one another’s experiences, memories, hopes and expectations. The programme for children and younger Friends will run alongside that for adults, with many allage sessions of play, worship and discussion. The Preparatory Group is doing its best to make the All-Age-Gathering a success, but in the end it will be your creative participation which will make it another wonderful experience to remember. We will curate the programme using your contributions and ideas, and hope it will reflect the diversity and the gifts of our group. As we are also going to celebrate EMEYF's birthday, we will bring the EMEYF Archive – documents, old minutes and epistles – and hope former EMEYFers will also bring photos, memories and stories, so that we can create a “Living Archive” together, encourage conversation between different generations and build a community of former and current EMEYFers. So, if you have any ideas or questions, let us know. And, don't forget to tell us on the registration form what you would like to contribute. We will gather at Haus Venusberg, a modern seminar centre situated in walking distance to Bonn city center, with good quality catering. It is easy accessible with public transport and will host up to 184 friends. There are some funds available for providing financial assistance, no one should be prevented from attending for financial reasons. Please indicate on the registration form if you would like further information on this. Nonetheless, we strongly encourage you to seek for financial assistance from your (local/Area/Yearly) Meeting, where available. The next couple of pages are the registration form with practical questions, a preliminary programme, a volunteer form and a form for minors attending the gathering without their parents. August at Haus Venusberg in Bonn, Germany There are a great many interesting and exciting volunteer opportunities during the week of the Gathering and we welcome offers from Friends to help organise, introduce or lead the various activities. Volunteers are needed for the following items of the programme and separate guidance notes are provided on these. We hope it will be understood that it may not be possible to accept all offers to run particular activities; a selection may need to be made in order to balance the programme. 1. Children’s programmes 2. Interest groups 3. Practical aspects, including helping with all-age activities and evening entertainments 4. EMEYF Planning Committee All-age Gathering 2016 Guidance Notes for Volunteers Please bear in mind that most of these contributions should be prepared to be suitable for all age groups. We hope to let the children take part wherever possible and the children’s programme will only stand apart if nesecarry. The forms for volunteering may be completed on-line or sent to the same contact as the Registration Form. 1. Children’s Programmes Offers of help to Peter Doubtfire, Co-ordinator of the Children’s Programmes, at the earliest opportunity would be most welcome. Older children and early teenagers are welcome to volunteer to help organise these. 2. Interest Groups The Interest Groups are a place for you to bring in your ideas and the time slot for them is around 1,5 hours. They may be talks / discussions / worship sharing / readings accompanied by stillness and contemplation / workshops / other activities (or a combination) as proposed by the volunteers introducing or leading them. We will draw upon volunteers’ offers to put together a rich and diverse choice of Interest Groups. Volunteers may suggest their own topic or combine it with the theme of the gathering. They may also offer more than one Interest Group. 3. Morning prologues The prologues are the optional early morning activities during the breakfast period (07:30 to 09:00 am), for example prayers, meditation, yoga, tai chi, singing, dew walking and birdsong. The time slot for these is 1⁄2 hour. Offers may be made for more than one prologue. They may constructed around the theme of the day but need not be. Also, the prologue and epilogue on a given day may be linked. 4. Evening epilogues These come at 21:00 hours at the close of the day and the time slot for them is 1⁄2 hour. Epilogues can be in various formats according to the volunteer introducing or leading them, such as a reading or readings on the theme of the day accompanied by stillness and contemplation, worship sharing, guided meditation, singing or chanting (e.g. Taizé), music. Epilogues should generally be gentle and calm rather than challenging and exciting but there are always exceptions! Epilogues should provide a peaceful end to the day and will be one session for friends of all-ages. Die Rolle und die Verantwortung der erwachsenen Freunde bei altersgemischten Versammlungen Um für alle Teilnehmenden jeden Alters eine angenehme und sichere Atmosphäre zu schaffen, möchten wir auf folgende Regelungen hinweisen: Allgemeine Information Jeder minderjährige Teilnehmende muss während der ganzen Versammlung / Reise einen verantwortlichen Erwachsenen dabei haben. In der Regel sind dies die Eltern/ Erziehungsberechtigten. Möchte ein Minderjähriger ohne die eigenen Eltern teilnehmen, kann die Aufsichtpflicht von den Eltern auf eine andere erwachsene teilnehmende Person übertragen werden. Jeder minderjährige Teilnehmer, der ohne Elternteil teilnimmt, muss dazu einen, von den Erziehungsberechtigten/Eltern und dem Erwachsenen, dem die Verantwortung übertragen wird, unterschriebenes Formblatt ausfüllen und eine Kopie mit der Anmeldung zur Versammlung abgeben (siehe unten). Die verantwortlichen Erwachsenen haben das ausgefüllte Formblatt vor Ort (das kann im Falle eines ärztlichen Behandlung sehr wichtig sein). Die verantwortlichen Erwachsenen müssen über 21 Jahre alt sein. Jeder verantwortliche Erwachsene kann bis zu 5 Minderjährige verantworten. Die Verantwortung Die verantwortlichen Erwachsenen haben volle Verantwortung außerhalb der Programmzeiten der Versammlung. Sie sind zuständig: als Ansprechpartner für den Minderjährigen in allen Fragen; dass der minderjährige Teilnehmende die Regeln und Grenzen einhält, die bei der Anmeldung bereits unterschrieben wurden; dass er/sie sich mindestens ein Mal am Tag mit dem jungen Teilnehmer trifft und ihn darin unterstützt, am Programm teilzunehmen und seine Erfahrungen auszutauschen; als Ansprechpartner für alle Eventualitäten, wie Krankheit, Unfälle etc.; dass das Jugendschutzgesetz eingehalten wird. .......................................................................................................................................................................... Role and responsibilities of adults at Quaker all-age-gatherings To create a comfortable and safe atmosphere for participants of all ages, we want to point to the following guidelines: General information Every participant who is a minor must be accompanied by a responsible Adult at the gathering. Normally this is a parent or legal guardian. If a minor wants to attend the gathering without their own parent/legal guardian, the duty of supervision can be devolved to a different participating adult by a parent/legal guardian. Every participant who is a minor participating without a parent/legal guardian must fill in this Form signed by a parent/legal guardian and the adult taking over the duty of supervision. A copy of this form has to be handed in with the application of the minor participant. The other copy remains with the parent/legal guardian. The responsible adult also has a copy oft he form with him at all times at the gathering (this is important in case of medical treatment of the minor). The responsible adult has to be 21 years of age or older. Every responsible adult may only be responsible for up to 5 minors. The responsibility The responsible Adults have full duty of supervision except at set children´s programme events. They are responsible: As contact person for the minor in all questions; That the minor keeps within the rules and boundaries they signed for when applying; That they meet at least once a day with the minor to support him taking part in the gathering and to discuss experiences of the gathering; As contact person for all eventualities such as illness, accidents, etc.; To make sure the youth protection act is met. ........................................................................................................................................................................ ..
