Discussion: John Gupta asked why Mt. Royal and NDG Leader Clubs
were moved. Leona said it was partly geographical. Area 53 had fallen to
4 clubs and others had 6. Shifts in clubs in Division G brought numbers
too low in some areas; each area needed to have 4-5 clubs.

The Area Governors have been presenting the district incentive pins to the
members who achieve an educational award. Both from the fall and the spring!

General Notes
Notes générales
The following report was presented to District Council at the Spring Conference. --Our total focus this past term has been serving our members within healthy club
environments. Therefore, our first appreciation is for those Division Governors and
particular AG’s acknowledged publicly who fully supported and worked with the Trio
to engage our members and Clubs. In particular, the LGM focused on activities to
create teams to support the clubs at low membership levels. This activity was
completely aligned to the District Education Plan for 2013-2104.

Éducatif du District pour 2013-2014.
Club support Highlights:
1. With our focus on the “member experience, the Education Committee and
District Education Best Practices Committee provided over 45 workshops
to assist clubs where QUALITY as the main priority

Educational Teams in Montreal: (Nick Schultze DTM, as Chair); Ottawa

Racine). These teams worked very well with the Marketing Teams. The
LGET planned, reviewed with the District Trio and implemented a “Club
Health Check” program. The purpose was to support weaker clubs by a
resource team of Educational Role models for basic programming needs.
Close work with identified Area Governors provided support as required to
maintain healthy club environments.

Role of the LGET in identifying and developing future Leaders:
The LGET created a “leadership succession team” – with a focus to review and
create a more updated Area Governor training package. This will be introduced in
the next TLI and Officer Training programs. Then, after a 1 year review and
assessment of its effectiveness, the team will develop a new “Best Practice”
manual.

Highlights of our Officer Training Program:
1. We exceeded 85% of Club Officers trained at TLI and makeup sessions. (We
established a new District record of the number of clubs with all 7 Officers
trained).
2. We assisted to organize 27 extra special training session by Area Governors to
remote clubs. We note special activity in Divisions A, B, and I.
3. In the 2nd reporting period, we have over 94% of our Clubs filed on time in club
dues reports. This is because of extra effort from messaging from Trio
members in advance of deadlines.

incentive for sponsoring a member into a low-membership club:

On Thursday May 8th, ¼ page full color ads will appear in the Ottawa Citizen and
Montreal Gazette. Special thanks for the great rate to our partners over at the Post
media group.
The impact of April renewals is going from a minimum requirement of 6 members to
a new minimum of 8 members.
Many new club leads on the go -- keep them coming; we still have 64 days to go.

Division A Report by BRIAN McDONALD, Division A Governor
Division A has had an AMAZING year thanks to the Assistance of Absurdly Accomplished and Adept Area Governors and Club Executives.
All clubs had at least 4 members of their executives trained.
The second round of club visits are in progress Area 1 Holly-Marie has completed hers and filed the reports.
All clubs membership’s are above the minimum of 8, 3 clubs are already distinguished, and many more are poised to become distinguished before June 30.
Division A has seen 165 new members sign up this year and this continues to grow, Queen’s with 29 and Downtown with 23 lead the Division.
It has been an honour and pleasure to server as Division A Governor. Thank you,

- Our priority is to give a strong Division D to the incoming team. We have our handover meeting planned for June. The outgoing AG team will meet the incoming AG
team.
- 2 clubs we were concerned about RCMP (Area 35) and A Matter of Taste (Area 35) have rebounded and both are back to 8 members now! Nice to see the positive
momentum inthese two clubs!
- Goal is still to have more than 20 clubs at 20+ members.
- Many thanks to the Division A, B, C governors through the Division contests. They were always all there to support each other! Thanks Brian, Diann and Lori.

- Congratulation to Tim Halderson for being elected as incoming Division D governor. I look forward to supporting his role next year in the capacity of Division D Education
ambassador.
- There is still a flurry of activity around finishing educationals and club growth so the Dashboard numbers should change rapidly before the end of term!
- Area Governors polled clubs to see which ones meet in the summer. This is part of building strategies for struggling clubs that don’t meet in the summer.
Area 30 Highlights – Paulette Archambault
Club membership numbers are strong and near last years end of year totals.
- Parliament Hill went from 5 members to 17 in 8 months, they are now Presidents Distinguished and continue to grow.
- Luncheon Troopers is Select Distinguished and celebrated their 30th Anniversary this past week.
- 240 Sparks Toastmasters is Distinguished and at over 30 members.
Area 31 – Antonio Misaka
This Area has very soft membership retention numbers this year. Well down from the previous year with no club over 20 yet!
- Cultivators of Self Expression has not renewed their members yet for this term.
- Aim High Toastmasters continues to struggle.
- 2 clubs at 6 DCP goals.
- this area will need some extra attention in membership building this summer and fall.
Area 32 – Andrea Harrison
Very strong Area with only 4 clubs. 2 Clubs over 30 members and growing. Strong overall membership numbers.

Area 33 – Tim Halderson
Strong overall membership total thanks to the addition of the Blackburn Hamlet club.
- Blackburn Hamlet Club is Distinguished.
- Orleans Raconteurs is currently Select Distinguished.
- MBNA club is forming in this area
- 3 clubs eligible for club coaches though!
Area 34 – Sanjeev Dutt
Soft membership numbers in this Area. No Distinguished clubs yet and only one club is eligible for DCP at present..

- Dows Lake club building momentum. Has received official support form senior management team. They are planning a special event to build membership.
- Above and Beyond Toastmasters will require a club coach and continues to struggle.
Area 35 – Lily Bong
This Area has strong numbers overall.
- the two struggling clubs from the last report, RCMP Toastmasters and A Matter of Taste, are building back momentum! They are both back to eight members.

Division I Report by MARIO ST-HILAIRE, Division I Governor
On the 1 October 2013, we were 269 members in the division. Before the 1 April 2014, we were 417 members. At the renewal on April 1, we went down to 302 members
We lost about 147 members. How that could happen? Difficult to say. I believe that the members did not receive what they thought they would. The ROI and expectations
were not met. In my point of view, we have to build material in French such a monthly magazine, webinars and educational videos.
There are clubs that need help but the officials of these clubs refuse or are to shy to ask for some help.
Also, quite a few clubs do not have members with a deep and profound knowledge of communication and leadership, and not in the position of giving any workshops or
any kind of education training.
The existence of a club is essentially based on the good will of its members.
