HUMAN RESOURCES SERVICES JOB DESCRIPTION Job Classification: Project Management Coordinator CLASS 6 IMPORTANT: Specific Project duration: up to two years (December 30, 2016) . NOTE: Contract duration may change depending on projects’ completion dates, and may end prior to December 30, 2016. GENERAL RESPONSIBILITIES: REPORTING TO THE DIRECTOR OF FACILITIES MANAGEMENT SERVICES (FMS) AND INFORMATION TECHNOLOGY SERVICES (ITS), THE PROJECT MANAGEMENT COORDINATOR IS RESPONSIBLE FOR LEADING A TEAM RESPONSIBLE FOR THE OVERALL PLANNING AND EXECUTION OF VARIOUS RENOVATION PROJECTS OF JOHN ABBOTT COLLEGE FACILITIES OVER A MULTI-YEAR PERIOD. DUTIES AND RESPONSIBILITIES: CORDINATION Develop and maintain a high-level renovation plan to be used to track project progress and facilitate communication; Communicate project progress to end-users and College community; Develop, implement and monitor quality control programs and ensure compliance; Manage a team and provide technical advice to resolve issues or emergencies; May participate in the interviewing, hiring and supervision of staff; Confer with project staff, academics and senior management regarding the work plan (assignment of duties, responsibilities, and scope of authority); Represent the FMS department on renovation committees, as assigned; Co-lead FMS team to develop staff temporary move plan(s) and move-in to new facilities plan(s); Inspect and review project(s) and comply with all government safety codes and regulations for safety on the construction site including ensuring that all procedures/requirements for asbestos removal/treatment established by the CSST/RBQ are met and adhered to at all times; Comply with college and government regulations regarding procurement, service and construction contracts. Oversee budget and ensure financial accountability for all college renovation projects; PROJECT MANAGEMENT SPECIFIC (as assigned by Director of FMS/ITS) Take responsibility for specific renovation projects Review project proposals and plans to determine best bid; Maintain project specific documentation to track project progress and facilitate communication; Manage day-to-day operational aspects of project including directing and coordinating activities of personnel; Ensure that all materials furnished by the college as well as services required are accurately ordered and delivered on time; Recognize and solve potential problems and evaluate project/program effectiveness; Prepare contracts and negotiate revisions and changes to contracts with architects, consultants, customers/users, suppliers, and subcontractors; Confer with contractors and subcontractors to ensure that construction sites of assigned projects are operated and maintained in a safe manner for the college’s population; Other duties assigned by the Director of Facilities Management and Information Technology Services. QUALIFICATIONS: Education: Bachelor’s degree in Civil, Mechanical or Building Engineering together with a minimum of seven (7) years of pertinent experience. Specific Requirements: PMP certification Knowledge of estimating, budgeting and scheduling practices; In-depth knowledge of Quebec building codes and regulations; Knowledge of the Quebec public tendering process; Superior ability to read and understand building plans; Computer and Technology Proficiency including but not limited to: o Knowledge of IT infrastructure standard materials and procedures in buildings is an asset o Strong MS Office knowledge (Word, Excel, PowerPoint, Outlook) o MS Project or equivalent experience Excellent organization skills and ability to prioritize and coordinate simultaneous projects; Demonstrated ability to establish and maintain effective relationships and partnerships; Autonomous and proactive and has ability to make timely decisions and lead and motivate teams; Strong interpersonal, communications, facilitation, negotiation and presentation skills.
