With regard to the final report to write by the persons in charge of review topic group, I would wish to
have the first version for our meeting on February 3. ( because the publication in road and route will
be in march)

Dear TC Members
You will herewith find a proposal of organization for the various technical sessions of the
Andorra congress.
The objective of the general secretariat was by choosing the Chairmen to communicate
most largely possible on the congress and to invite some "high ranked" persons to take
part in an active way.
There is also the wish to open with the other organizations sirwec, association of the
baltic roads Baltes, ashtoo, etc…This is why presidents out of the committee were
proposed.
Can you confirm me the possibility of animating the sessions suggested as proposed
,chair or co-chair ? (see attached file, the list of chairs is to be completed )
A last word concerning the registration, do not forget to register, (message of David !)
and to again make still the promotion of the congress to have participating.
Recall of the Chairperson/Co-chairperson Tasks
Before Congress
Contact speakers as necessary
- Check with Organising Commitee to ensure speakers are registered;
- Contact presenters who have not registered to determine alternate plans
Remarks: general secretariat will soon have an idea of the attending authors and the
alternative plan will be to propose presentation prepared (before) and presented by our
TC members.
During Congress before Session
Chair contacts co-chair for deviding up the following tasks

Meet the speakers the day before session checking
- Ensure brief CVs ( 5 lines) of each speaker are obtained from the speakers or
Congress organizers ( but you can ask by e-mail before the congress)
- ask for questions to give the speaker during the session
- ensure talks are ready and presentations are loaded on computers
- ensure interpreters have copies of the papers in English and French
- Provide paper copies of the presentations to interpreters ahead of time and, if
possible, in both English and French
- Anticipate any logistical or language difficulties and resolve
- Confirm the language of the presentation and advise the interpreters
During Congress during Session
- start the session, welcome the audience and the speakers
- deliver any messages regarding the congress programme or activities
- introduce the speakers and each subject
- check the time – ensure speakers and session schedule are rigorously
followed
- lead the discussion after each talk
- Thank the speakers and audience
- summarize the session, conclusion
During Congress after Session and before closing session
Meeting chair/co chair after the sessions to summarize the session 5 to 8 lines for each
session and 2 slides by topic (that I can load from Usb key).( it’s of course possible to
select the slides and prepare the framework of the synthesis before the congress)
With regard to the poster session one would need four volunteers to make a rapid
syntheses of each. To confirm during ou meeting on monday 3.
The technical part of the closing ceremony will be short, 15 minutes for Winter
maintenance (TC 2.4), 5 minutes for the bridges and 5 minutes for the tunnels.
As chairman of the committee I will made the presentation during the closing ceremony
and of course I need your summaries before (with the reference of the item and of the
session). I will compile your texts.
To prepare the general report
Each responsible of topic review group has to write four pages (end of February ) of
synthesis for the preparation of the first draft of the general report after the congress.
If you have comments do not hesitate to tell.
