Reducing Storage Volumes by More Than 50% with
Symantec Enterprise Vault
The Turkish consumer durables company Arçelik A.Ş. has
transformed its email system into a centralized infrastructure using Symantec Enterprise Vault™. The next generation,
intelligent email archiving platform is helping to streamline
the increasingly complex email environment. Enterprise Vault
enables email content to be archived to a single server costeffectively; it provides effective management of the content
according to its security and compliance requirements—while
also providing easy access to the archive. Owing to the fact
that the content is no longer saved to users’ hard drives, data
loss is avoided and users are not constrained by email quotas.
The bottom line is that Symantec Enterprise Vault is both enhancing employee satisfaction and promoting efficiency.
Consumer Durables Marketed in More than 100 Countries Worldwide
Arçelik A.Ş. operates in consumer durable goods—such as fridges and washing machines—marketing, and after-sales support. Established in 1955, the company sells
its products and services in more than 100 countries around the world. It has more
than 18,000 employees, 12 production plants in four separate countries, 12 overseas
companies and 10 brands, including Arçelik, Beko, Grundig, Altus, Blomberg, Elektra
Bregenz, Aretic, Leisure, Flavel, and Arstil. Arçelik A.Ş. recorded $5.5 billion consolidated revenue in 2007.

A dramatic increase in electronic content creates both financial and legal difficulties
for most organizations. The rapid growth in the size of email archives complicates the
management of this content and gives rise to various risks in saving it in a secure manner. As a result, organizations need an intelligent system to manage their electronic
information databases. After all, the information may contain critical data like orders
and contracts which need to be saved for many years; whereas other content—such as
personal e-mails and electronic releases—could be categorized as being more superfluous. The crucial point here is that effective information management means being
able to classify the data within appropriate categories and being able to create policies
surrounding electronic content management.

It was against this backdrop that Arçelik A.Ş. chose Symantec’s intelligent content
archiving solution: Symantec Enterprise Vault. The company’s aim was to archive email
content by dividing it into various categories and ensuring secure and effective content
management. “The reason for choosing Symantec was that the solution blends high
availability with easy access to archived emails,” says Kağan Ertuğrul, IT specialist,
Arçelik.

“Previously, to distribute emails within
the company, we relied on nine different
heterogeneous Exchange Servers. Another
issue regarding the Exchange Servers was
the limited size of emails—and this had a
negative impact on user efficiency. Because
of the restrictive nature of the inbox limits,
the growth in the database generated big
problems. It also led to prevalent use of
Personal Folder Files (PST). It was difficult
to effectively manage the issue of PST files
owing to the fact PST had to be saved on
users’ resources. It was also likely we would
experience data and business loss in the
event of any disk failure. And, of course, the
management of nine different systems led
to a large increase in administrative costs,”
says Kağan Ertuğrul.

Ertuğrul also highlights the company’s immediate requirements in obtaining an effective and centralized content management
solution—one that would increase user
efficiency and remove the issue of growing
databases. He also says that Arçelik A.Ş.
was particularly keen to take advantage of
the ‘single copy-saving’ functionality.

“With Symantec Enterprise Vault, email box
limits are increased to satisfactory levels for
users. The solution also provides the functionality to make PST folders ‘read only’
and archived as well as reducing PST usage.
The solution offers fast Index configuration
and advanced ‘search’ functionalities. It
provides easy access to previous archived
messages with its ‘search’ functionality.
Other motives for choosing Symantec was
the compatibility of Enterprise Vault with
our previous hardware investments and it
could be used by mobile users. Moreover, it
can be run in an integrated way with existing Microsoft Outlook interfaces and also
provides a user-friendly experience. Supporting offline working, it does not need
any disk capacity due to ‘single copy saving’
functionality. The solution is able to archive
the main body and attachments of inbound
mails, separately.”

“Other functionality like Offline Vault,
Outlook Web Access, and compatibility
with Outlook cache mode were additional
reasons for choosing Symantec Enterprise
Vault,” says Ertuğrul. He also points out
that the solution has helped to reduce the
data loss risk together with running business workflow process continuously by not
saving e-mails on user disks.
Significant Decrease in
Administrative Costs
Ertuğrul says that the installation process
was realized during the migration time
from Windows Exchange 2000 to 2003
and took only three days. He also points
out that during the installation process it
was necessary to project the archives on
different domains to the mailboxes being
kept on Exchange Servers which are in different domains. “With Symantec Enterprise
Vault, Arçelik A.Ş. leveraged the centralized
content management easily and acquired
a significant decrease in administrative
costs,” he says.
“The migration has been done from Exchange 2000 to 2003. There were 750
GB exchange database on nine different
locations. It was needed to migrate all
Exchange 2000 servers to Exchange 2003
and save all e-mail data in a single center.
Symantec Enterprise Vault was installed on
Exchange 2000 before the Exchange 2003
migration. Up to 750 GB of email data was
reduced to 300 GB at the end of the archiving process which took approximately
20 days. The databases on Exchange 2000
were also reduced and thus, migration
time was minimized. After migrating to
Exchange 2003, 2000 archive was carried
to Exchange 2003. Now, there is a cluster
infrastructure utilized for Exchange. The
existing five servers are being archived with
a single Symantec Enterprise Vault server
and for this archiving, one medium sized
server is sufficient.”
