Dear Mrs. Stuart:
Subject: Order form 456
Concerning your telephone call about an order you placed three weeks ago, I must advise you that
unfortunately we never received it. It is possible that the order was lost in the mail, but whatever the
cause of the problem we regret your having to wait.
Once I confirmed that your order had not been received, I immediately contacted our supplier and
placed your order by telephone with the head of sales. He assured me that it would be sent out that
very day.
We apologize again for the inconvenience this lost order has caused you, and to show our goodwill in
this matter, I offer you a 10-percent discount on the next purchase with us. You have only to attach the
enclosed coupon with your next order.
I will call you next Monday to schedule an appointment with the technician. We intend to do
everything possible to keep you as a faithful customer.

Dear Mrs. Rodgers:
Subject: Cancellation of lease
I am writing to you in reference to your registered letter of April 10 advising us you will
not renew your office rental for the next year because the premises are not large enough
for your growing business. I am happy to hear that your business is growing, but it is
unfortunate for us that you are leaving since you have been such a good tenant.
I would like to draw your attention to the fact that Immobilia also owns larger offices in
two other buildings in the Montréal area. We have recently acquired five high-rise
apartment and office complexes. These offices could be twice or three times larger than
the one you have now, at a really competitive price. Since you are one of our best clients
and since we appreciate doing business with you, we can offer you our prime rental rate.
Let me also draw your attention to the fact that our own comprehensive business
insurance policy allows us to extend coverage to our clients at 90 percent of the going
rate. You cannot find that anywhere.

Dear Mr. Hammond:
Subject: Service appointment
In reference to your telephone call about the bad service you received at our garage on
April 23, please accept our apology. We thank you for bringing this matter to our attention.
It is our policy to follow up on every legitimate complaint and to make sure that the
customer is satisfied.
We made a mistake when we asked you to come to the garage at 8 a.m. to have your car
fixed since your appointment was scheduled for 2 p.m. A misunderstanding occurred
when the reservation clerk took the wrong month section to confirm the appointments. We
have installed a computerized appointment calendar so that this kind of error will not
happen again.
We are really sorry about any trouble this unfortunate mistake has caused you, and we
hope this situation has not broken the confidence you have always had in our garage.
I checked in our records, and I noticed you have been a faithful customer for over 15 years.
We want you for the next 15 years.

Dear Beattie,
The staff and I would like to congratulate you for the new baby you are expecting. Since it is
your first, a whole new world of parenting is opening up to you and your husband. Your joy
brings back memories of my first pregnancy.
To celebrate this wonderful event with you, the office personnel would like to invite you and
Robert to a party given in your honour next Friday at 7 o’clock at the restaurant Au coin du
feu. You will remember that we had a Christmas party there last year, but just in case you have
forgotten, here is the address: 405, rue Saint-Eustache, Sherbrooke. The new manager is the
brother of Fred Piphel in accounting, and he has promised to make a really nice buffet.
We are all anxious to see you both—rather all two of you, ha ha. Nancy Morrison, who is also
on maternity leave, has indicated she will be there too. We are so happy for you and hope that
this little get-together will help convey to you our affection and appreciation.

Dear Mr Jones:
Subject: Your request for information on HVAC units
In response to your inquiry about the prices and credit conditions of HVAC units, we are
pleased to send you the information you requested. We consider it a great honour when
potential customers ask about products. It indicates that our advertising campaign is
effective.
Our price for an 80 0001 BTU HVAC unit is $7 800. The 100 000 BTU unit retails for $9 300.
These prices do not include both GST and PST. A ten-percent discount is applied to
orders of six units or more. We are certain that you will not be able to find better prices
for the same quality.
These units are guaranteed two years on parts and service. If by chance, some problems
should occur during the guarantee period, we assume the costs of sending you a
technician to correct the problem. All sales are net 30 days. Arrangements can be made to
open a credit account when furnishing satisfactory references. Having such an account
can speed up deliveries since we do not have to make a check each time a customer asks
for credit.
We thank you for your interest and look forward to receiving your order. Please be
assured that it will receive our prompt attention.
Sincerely yours,

Subject: Refresher courses
We thank you for the payment of $5989.45 we just received from you for the
installation of your new computer network. We are even more pleased to have received
the entire amount instead of the five monthly payments that we agreed to when you
purchased the equipment.
We would like to know if you are still interested in us giving courses to your

courses can be provided at your work place during the day or in the evening according to
your needs. Many of your employees expressed a keen interest in such courses. One of our
new employees, Mrs. Clarica Megaherts, has been teaching computers at a local business

When I arrived at the office this morning, all the windows were wide open. I knew that something
was wrong since the janitor always closes and locks them before leaving, especially in January. I
was frightened because I was alone, and I did not know what had happened during the night.
Entering my boss´s office, I had a horrible surprise. All the files had been emptied. In addition,
the door of the safe was broken, and many papers lay on the floor. Finally, I understood that we
had been robbed. Not only was the money in the safe gone, but also the complete file on the Smith
Company, our biggest customer. I phoned the police station. The receptionist told me to stay
calm. It was not easy. I was really scared because I imagined that the robbers could still be in the
office. Since it took half an hour for the police to arrive, I had a lot of time to get nervous and
frozen. I caught a cold. Today, we laugh about it, but I can tell you that I did not feel like smiling

Dear Mr. Harris:
Subject: Information for new account
In your letter of March 30, you inquired about our ordering procedures, discounts,
return policy, and credit terms. I am pleased to send you this information.
Our ordering policy is very simple and easy to use. It is, as they say, “user-friendly.” First
of all, please fill out the customer application form I attached. Notice that it is not even a
full page. Other companies require seemingly endless reams of paper. You then fill out the
order forms enclosed following the steps clearly indicated in large, red numbers. The
orders can be placed any time by mail, telephone, fax or electronic mail. We even have
someone who can take orders on the weekends and holidays. We guarantee our shipments
within 5 days, not just 5 working days like other companies.
Concerning our credit terms, we give a 30-day payment delay to all our customers, and
after establishing a good credit record with us, we extend that to 60 days. However, if you
pay within 10 days, we will give you an additional 5-percent rebate on our corporation
rates on the enclosed price list. You will not find such terms anywhere.

Dear Mr. Sutton:
Subject: Error in billing
This letter is in reference to the one we received from you dated May 25 concerning a
billing problem. You called our attention to a difference of $538 in the total price of the
items you ordered and the amount shown on the invoice. We checked our records and
the quotation to see where the error was made.
You are right about the mistake, and we are very sorry it happened. It was made
unintentionally; such mistakes do happen, and all we can do is apologize and correct the
error. Please find enclosed the corrected invoice to show the amount of $4500 plus taxes
instead of $5038. Please disregard the previous bill, and we hope this unfortunate
incident will not damage our good business relations. To show you our good faith, we
will grant you a 5-percent discount on your next order. Simply enclose a copy of this
letter with that order.
