Both the e-sport and the excel spreadsheet are required for this meet (this requirement is only for this meet as e-sport is so new for everyone). Please be aware that entries can only be made through the on line esport registration until the entry deadline. Any entries after that date will have to be submitted via e-mail only on the excel spreadsheet and will then be subject to the “late registration” fine. Any changes to the entries can be made on the e-sport registration site up until the deadline and also e-mailed to the above individuals, before and after the deadline. Please note that the information submitted into the e-sport on line registration system is automatically downloaded into the scoring program so please ensure that the information submitted is accurate. The e-sport on line registration is located on the Synchro Canada website under Member Info. You will see where to click on e-sport registration and then you will put in your club user name and password to submit the entries. Cheques can be mailed to: Synchro Québec, Attention : Linda Lebeau 4545 Pierre De-Coubertin, Montréal, Qc, H1V 0B2 Entry Deadline Entries must be in the hands of the Meet Manager and submitted through the e-sport on line registration by February 25, 2014, 11:59 pm (Eastern Time). Please make all cheques payable to “Synchro Quebec” for Entries and Hospitality. Athletes’ Surcharge Fees should be made payable to “Synchro Canada” NOTE: We are aware that all of the Qualifying Meets are not complete by the close of Entries. Please submit all entries and then forward adjustments when Qualifying Meet Results are known. Late Entry Fee Late Entries – Each routine whose entry package has not been received or was incomplete by the stated deadline(s) is automatically assessed a $100 fine. It is the coach’s and/or swimmer’s responsibility to pay this fine to the appropriate official by one hour before the beginning of the competition for that category. Failure to do so shall result in disqualification. The final deadline for late entries is two weeks prior to the start date of the competition. No entries will be accepted after this date. Rules This Meet will be conducted under CASSA rules. Email Policy All correspondence as required will be by email. Communication All meet information packages and other important communications will be available on the Synchro Canada website www.synchro.ca Language Policy All official information packages and correspondence will be provided in both French and English. All event announcements will be made in English and French. Figures Draw The figures draw will be determined by Synchro Canada. Figures Competition Snacks during Figures Competition Music Figures competition will take place in the Dive Tank as identified on the Pool Layout. Snacks will be offered to swimmers during figures panels and will be $10 per swimmer. All other meals are the responsibility of the swimmers and their teams. All music must be provided digitally, please review Music Requirements section below. The dimensions of the south pool are: Width 25m, Length 20m, Depth 3m. Results All results will be sent to all club coaches by email and will be posted on Synchro Canada Website immediately following each event www.synchro.ca. Medical Services Information for Officials Trained Lifeguards are on deck at all times during the competition. Team and Combo Pictures Please see the section below identifying information for submitting Team and Combo pictures for the Souvenir Program and Cookbook. Don’t miss the deadline. Volunteers If you would like to volunteer at the competition please complete the form in the package and return as indicated. We know that many parents like a deck side view or to be involved and we certainly appreciate any hours you are willing to volunteer. Please refer to Synchro Canada website regarding banned substances. Transportation will be available upon arrival and departure to/from the airport. Music Format There must be one digital file for each registered routine in one of the following formats: AIFF files with an .aif file extension, ACC files with an .acc file extension, mp3 files with an .mp3 file extension or Wave files with a .wav file extension. Coaches should review each digital file for quality, timing and completeness It is suggested there is a 3-5 second lead from “play” until the music starts. 4. The athlete must inform the physician prescribing the medication that she is an athlete under doping control restrictions and that she cannot take any substance on the International Olympic Committee banned list. 2. The athlete should ask the physician to determine if there is an alternative drug that can be taken if the recommended drug contains a banned substance. 3. If the physician indicates that there is no alternative drug available for the athlete to take, the athlete should obtain a letter IMMEDIATELY from the physician indicating: a) the name of the drug he/she is taking, b) the specific banned substance(s) in the drug, c) the reason the drug must be taken, d) confirmation that there is no substitute drug to be taken. This letter should be forwarded by the athlete to Synchro Canada IMMEDIATELY at: 700 Industrial Ave, Suite 401 Ottawa (Ontario), K1G 0Y9 NOTE: An exemption must be granted by the Centre for Drug-Free Sport (CCDS) prior to the athlete competing or the sample could be considered positive. If the athlete wishes to obtain a second opinion on the drug she is to take, she should call Synchro Canada’s consulting physician on anti-doping, Dr. Margaret Mountjoy: Dr. Mountjoy may be able to recommend an alternative drug. 4. A reminder that doping controls may be conducted at competitions or in the athlete’s own training pool on an UNANNOUNCED basis, therefore, it is imperative to act on this matter immediately. DO NOT PROCRASTINATE! 5. Contact the Communications Coordinator at the Centre for Drug-Free Sport to obtain a copy of the booklet listing banned substances (613) 748-5755. ATHLETES SURCHARGE This surcharge is assessed to each athlete attending each of the national competitions (ie qualifier or nationals) to offset the costs of having officials at these meets. This surcharge is charged only once per athlete per meet (ie if a club has 15 athletes attending Qualifier they pay $750=15x$50 no matter how many solos, duets or team events they have; and pays again for each athlete who attends Nationals). This surcharge is to be paid along with the entry fees. MESSAGE TO ALL CLUBS Please send a photo of each of your teams and combos participating in the 2014 National Qualifier. This photo can be a posed photo or an action shot. These photo’s will be included in the Souvenir Program. The cost to include a photo will be $10.00/photo. Please include a cheque payable to the Sycnhro Quebec when submitting a photo. Several pages will be reserved in the Souvenir program for team and combo photos we hope to be able to include a photo of each team and each combo from every club. ON DECK VOLUNTEER OPPORTUNITIES There are volunteer opportunities available for the families of the athletes who are attending the National Qualifier. If you are interested in helping out and have previous experience, we will be using an on-line registration system called Volunteer Spot. The sign up information for this system will be sent 2-3 weeks prior to the event, when the schedule is fully finalized. We will be looking for assistance in Hospitality, Figure Scoring, Routine Timing and Routine Runners. Thanks so much for considering this! Please stay tuned for additional information. 14. ACCOMMODATION INFORMATION Please note that it is the Clubs’ responsibility to book their own accommodation. 15. TRANSPORTATION Transportation to and from the pool is the responsibility of the individual Clubs. The airport is located within Montreal city limits, and is about a 30 minutes drive to Complexe sportif Claude-Robillard, outside of rush hour times. Car rentals are available at the airport, book rentals early.
