This is your reference tool- the Exhibitor’s Manuel- where you will find all necessary information for your very successful presence at the Trade Show. Reading this Manual will save you time, money and inconvenience. Please comply with the deadlines of all the forms so to avoid incurring addtional costs. By doing so, you will also allow your suppliers as well as ourselves to better serve you. However, if this is not possible, see section about advanced shipments. Crates and packages should be clearly marked by customs. C.O.D. shipments will not be accepted. It is important to identify all boxes with SIQ, exhibitor company name and booth number. Dolbec Logistique International is the official carrier of the show. Exhibitors who wish to ship their equipment and exhibits in advance may contact Ms. Nathalie Huot of Dolbec Logistique International at (418) 668-9115 or 1-800-267-9100. Allowed material in the show Only new products are allowed in the industrial show. The promoter reserves the right, at all times, to enter in the space and remove, all or part of the objects exhibited such as, without limiting the generality of the foregoing, printed matter, souvenirs and novelties and to expel from exhibition exhibitors or the members of their personnel, or both, whose conduct is unacceptable given the decorum of the exhibition. This rule is designed to protect exhibitors against the exhibition or the operation of objects which are deemed by the promoter to be dangerous, unacceptable or reprehensible to the public or to other exhibitors at the exhibition. The exhibitor does not have the right to permit the exhibition on the space of any product whatsoever for which it is the manufacturer, the distributor or the authorized dealer. No signs containing an advertisement contrary to this rule will be permitted during the exhibition. The exhibitor is prohibited from distributing price lists, documents, or other material outside of its space. It is not permitted to use the aisles for solicitation purposes or for the distribution of any item whatsoever, unless previously authorized in writing by the promoter. The exhibitor must, at all times from the opening until the closing of the exhibition to the public and for the press, maintain the space in a condition appropriate given the decorum of the exhibition. The space must be returned by the exhibitor in the same condition as it was when the exhibitor took possession of it. Salon industriel de Québec October 4-5-6, 2016 Page : 7 Storage of material The promoter is responsible for the removal of boxes and packages and the storage of the aforementioned as well as their return to the stand during the dismantling phase. There is no additional charge for this service. Once your boxes have been emptied and are ready for storage, please ensure that they are clearly identified (company name and stand number). AVIS: Please take note that no storage behind or between the booths will be tolerated. (Ref.: City of Québec, Fire Prevention Division) Dismantling No set-up or disassembly of exhibited items or accessories is permitted prior to the removal of the aisle rugs on Thursday. Exhibitors are invited to remove display cases, open boxes and products immediately following the closing of the trade show. Heavy equipment handling All transactions on work of this type (4,000 pds and more) will be between Promotions André Pageau inc. and the exhibitor. Please complete heavy equipment handling order on EXHIBITOR ZONE PAGE at www.salonindustrieldequebec.com Presence at the stand Exhibitors must ensure a constant presence at their stand during the trade show opening hours. In addition, no set up or dismantling may be carried out during the trade show period. Any modification to the stand must be preauthorized by the promoter. Labour and tipping Exhibitors are required to abide by the prevailing labour conditions and rates effective in the show building. Tipping is against show rules. . Salon industriel de Québec October 4-5-6, 2016 Page : 8 Concessions It is forbidden to sell food or beverages on the premises of the show. Exhibitor badges – Go on the EXHIBITOR ZONE PAGE Exhibitor badges will be supplied by the promoter at no cost for all exhibit personnel. These must be worn at all times while in the show building and are required for entry to the show. Exhibitor’s badges will not be mailed. Please pick them up at the show office before the show opens. Just complete the registration on the exhibitor zone page on the web site: www.salonindustrieldequebec.com IMPORTANT: A fee of $ 10 will be charged for any reprint of identification badges for exhibitors. It is therefore important to tell your team to bring their badges. These fees will be requested by the registration service. Promotions André Pageau inc. have no power over fees. The exhibitor is responsible for the behavior of its employees, mandataries and representatives while such personnel are on the exhibition grounds. The space must be adequately staffed by properly attired personnel during the preview, as well as while open to the press and the public. The number and quality of staff must be to the satisfaction of the promoter. Trade show Guide The trade show Guide, of which 7,000 copies are published and distributed to each visitor, constitutes an important source of information and serves as a reference document that buyers consult on a regular basis long after the trade show. Advertising your products or services in the trade show Guide is not only a good investment of your publicity dollars, but it will also allow you to stay in contact with the decision makers who visited the trade show. Deadline date: August 31, 2016 Salon industriel de Québec October 4-5-6, 2016 Page : 9 Security The promoter will ensure that the necessary qualified personnel are available on site during the set up and dismantling phase as well as throughout the duration of the trade show. A night watchman will be on duty to provide security for the installations. The promoter is not liable for any loss, damage, theft or injury incurred. No material may be removed from the exhibition hall by the exhibitor without having obtained the form “AUTHORIZATION FOR REMOVAL OF MATERIAL” from trade show authorities. Insurance The exhibitor shall subscribe for and maintain in force, at its sole expense, at all times from the date the exhibitor gains access to the space for the purpose of setting up the exhibit until the final occupation date, civil and public liability insurance and an insurance to ensure the security of property which is under the exhibitor’s care or control of which belongs to him, against any accident and without limiting the generality of the foregoing, fire, theft and vandalism. In addition, the exhibitor releases and liberates the promoter and the owner of the exhibition grounds, as well as their respective agents, representatives, officers, directors and employees, from any responsibility in respect of the security of the exhibitor’s property and any property under its care, control or possession. Wilfrid-Hamel Québec (QC) G2E 2J1 Réservations: (418) 877-4777 ou 1 800 363-7440 Salon industriel de Québec October 4-5-6, 2016 Page : 12 RULES OF CENTRE DE FOIRES Assembly and booths arrangement All stands, curtains and such elements (platform, decoration) must be made of fireproof material and should be in respect with the Règlement sur la Sécurité dans les édifices publics (S-3, r.4) from the Régie du bâtiment du Québec. Height-limits for displays Racks and display shelves must not exceed 8 feet in height and exhibitors are required to exercise care so that their displays do not unduly obstruct visibility of adjacent exhibits. The limit of equipment on display is 16 feet provided such equipment is self supporting and free-standing. At least 50% of the total area between adjacent exhibits must allow for eye level (1 m. maximum height) visibility. These exhibit restrictions have been designed, not to curb creativity of design, but to ensure that the overall appearance of the show will be clean, clear and uncluttered. Signs In the interest of the overall appearance of the show, suspended signs will not be allowed in the show building. Signs must not exceed the 8 feet height restriction and may not be attached to or painted on equipment or machinery above this height. Clothing your booth All exhibitors must have partition walls and carpet. All exhibitors who present with a booth style ‘’ pop-up ‘’ must necessarily a curtain or a rigid bottom stand to determinate their space and hide the tubular structure at the back of their booth. Installing a carpet is required. Salon industriel de Québec October 4-5-6, 2016 Page : 13 Fire Vehicles and engines: the fuel tank caps must be secured and the containers shall not be filled more than half full and contain more than 10 gallons. Batteries must be disconnected and it is forbidden to start a combustion engine. Please note that no storage will be tolerated between the booths, the non-compliance with this security measure will result in a breach of $ 250 plus legal costs. The drapes, curtains and textiles must be fire retardant exhibits must be flame-retardant or non-combustible construction, softwood trees are prohibited. ***Drapes, curtains and textiles must be fire retardant. The booths must be making of non-combustible or fire retardant material. Electricity - Water The electrical equipment on display must conform with the rules and regulations of Hydro Québec and be CSA approved. The equipment must be approved before it may lawfully be displayed, offered for sale, disposed of, sold or used in Québec. For the next edition of the Salon industriel de Québec, it is important to determine and order your electrical and water requirements well in advance. Given that the outlets for these services are located on the floor, once the booths are set up, it will be impossible to gain access to the utility wells without having to disassemble part of the booth. Consequently, to avoid unnecessary efforts and additional disassembly and moving charges, we recommend that you estimate and order your electrical and water requirements for your booth now. The company SPL Division Services électriques inc. will take charge of all your electrical and water connections (purchase order appended). The rates for the connection of electrical equipment are specified on the purchase order. It is to your advantage to place your order well in advance. N.B. There is no space left between booths on the floor plan, it might arrived that the electricity source be on your stand. Electrical outlet 15 amps, 120 volts Electrical outlet 120/240 or 600 volts 3 phases. Salon industriel de Québec October 4-5-6, 2016 Page : 14 Important notice concerning electricity and water sources General It is important to evaluate and order in advance your water and electricity needs. Since the intakes are located under the floor, they will be hard to reach without partly dismantling the booths. So if you want to avoid additional cost and disarrangement, we recommend you to order right now the appropriate water and electricity equipments for your booth. N.B. There is no space left between booths on the floor plan, it might arrived that the electricity source be on your stand. Electricity Other than the regular electricity outlets which are 1500 watts, please make note that "Le Centre de Foires" has 208 and 600 volts for the connections. Other voltages will cost additional charges for the man power and for the location of the transformer. All equipments which require electricity must be ready to use this means that it must have an appropriate cable connection. If this is not the case, please allow a cost of 50.00$ plus taxes for each products. Please make note that this cost includes the disconnecting. Note: Put this in the "Miscellaneous" section on your order form. We must tell you that it is prohibited to make electricity connections by yourself at "ExpoCité" as well as electricity sub distribution. Water For all water connection, the source arrives in ½. Make sure you have the right adaptors in order to be ready for connections. If this is not done or if we must open your equipment to make the connections, please allow a cost of 50.00$ plus taxes for each connections. The dumping of oil, fats, food residues or any other poisonous materials is strictly prohibited, as stipulated in legislation that applies to this matter including the laws of the Ministère de l'Environnement. Where there is violation, "the exhibitor" shall be held liable for failure to respect the laws in force governing this matter and any criminal proceedings instituted. "All exhibitors are equal regardless of size and should be given equal opportunity, within reason, to present their product in the most effective manner to the audience." Show Management must establish rules or guidelines to make this possible while allowing the greatest flexibility within each exhibit. Remember you are our customers. We want you to be successful. Allée / Aisle Vous pouvez placer des colonnes d’affichage ayant une hauteur maximale de 12’ au centre ou devant le kiosque . Ceci a pour but de ne pas cacher le droit de vue de votre voisin.
