CONTRACT TERMS AND CONDITIONS FOR EXHIBITORS
1.
The Exhibitor agrees to pay the price indicated on or before the due date.
2.
The Exhibitor shall insure his own merchandise against fire, theft and all perils. Exhibitors are required to maintain public liability insurance to a minimum of $2,000,000.00. Proof of insurance is mandatory.
3.
Master Promotions Ltd., or Event Sponsor (Sponsors), are not responsible for any loss incurred by any Exhibitor.
4.
Exhibit space will be made available for Exhibitor’s use, on a scheduled basis up to 48 hours
before opening.
5.
Exhibit to be completed by the Exhibitor for official inspection by 9:00 p.m., Thursday April 2, 2009.
6.
Preparation of the Exhibit will be at the Exhibitor’s expense.
7.
Exhibit will remain intact until 5:00 p.m., Saturday, April 4, 2009.
Exhibit or Exhibit Material is permitted before this time.
8.
All booth decorations must be kept within the confines of the rented booth dimensions. Eight foot high sidewalls will not exceed six feet in depth unless prior approval is obtained from Show Management. Installation
of eight foot high sidewall will be at the expense of the Exhibitor. No booth decoration will block the visibility of another Exhibit.
9.
Painting or fastening to walls, floors, ceiling or any part of the building is not permitted. Attaching signs or
display material to the show contractor’s equipment will be by approved methods only. Any damage to the
building or show dressings will be the responsibility of the Exhibitor.

10. Balloons, stick-on decals, or similar products will not be permitted within the building.
11. Final allotment of Booth space will be at the discretion of Show Management.
12. Space is to be used for products and purpose of Exhibitor and cannot be sublet or used by other than the
Exhibitor without written consent of Show Management.
13. A non-refundable deposit of 50% at the time of application is required. The balance will become due, and
payable, on or before February 6, 2009. All monies received prior to the completion of the event will be considered a deposit. When payments for space are not paid when due, deposits may be forfeited and the space
re-allocated.
14. Cancellation Policy — The Exhibitor will be required to pay in full for the contracted amount on any cancellation received after December 5, 2008. Cancellations must be received in writing.
15. The Exhibitor must occupy the space allocated to him during his scheduled move-in time, unless otherwise
approved by Show Management.
16. Goods may not be delivered, or removed, from the building during show hours.
17. All applicable Provincial and Federal Taxes at the time of the event are the sole responsibility of the Exhibitor.
18. The sale of raffle tickets, lotteries and/or gambling is not permitted.

Neither Show Management or Olympic Stadium accept responsibility for injury to persons,
damage or loss of products, exhibits, equipment, by fire, accident theft or any other possible
cause while in the building or grounds. Exhibitors must provide adequate insurance for
their own personnel, exhibits and materials against all hazards and must name
Master Promotions Ltd as an additional insured. Please review your company insurance
form and request a Certificate of Insurance be sent to our office prior to the show. A detailed

listings, expanded floor plan, and show information, the Expo Grands Travaux
Pocket Guide will include official welcomes and other info. It will be the only guide
handed to every visitor to the show, and mailed in advance to potential visitors
across Quebec and parts of NB and Ontario using Aggregates & Roadbuilding's
audited circulation list.

Show Admission
For security reasons, everyone (including Exhibitors) will need a badge to enter the show.
Visitors who pre-register by March 13th will receive their badge in the mail prior to the show.
Visitors registering at the show will be issued a show badge for $10.00 (price includes GST).
Badges are valid for both show days.
Security
Exhibitors are required to maintain staff within their booth during all show hours. To minimize
the risk of theft, we suggest you keep your booth staffed each night until the aisles have been
cleared of all attendees.
Exhibitors are reminded that Show Management does not assume any responsibility for losses;
therefore, exhibitors should take all reasonable precautions to protect their own property,
including insurance. Security guards will be on 24-hour duty from the start of move-in until the
end of move-out. Show Management and Olympic Stadium, however, do not assume any
responsibility for losses incurred from pilferage or any other causes.
Complimentary Passes
Show Management will supply exhibitors with personalized complimentary show passes for their
customers and prospects. Please contact Karen McCumber at 1-888-454-7469 to inquire about
these passes or fill out the enclosed form and fax it back to our office.
MOVE IN / MOVE OUT SCHEDULE
HEAVY EQUIPMENT MOVE IN
Wednesday, April 1st

Bulk exhibitors will be assigned specific move-in times according to their location on the
show floor. These times will be faxed to you by the Show Manager 10 days prior to the
event.
Companies wishing to transport/float heavy equipment in advance of movein dates may drop heavy equipment in the outdoor marshaled area located at
the Olympic Stadium during the following times:

IMPORTANT NOTICE TO HEAVY EQUIPMENT EXHIBITORS
It is absolutely essential that exhibitors supervise the move-in and move-out
of all heavy equipment and ensure that under no circumstances does any
tracked equipment (street pads or otherwise) move on any asphalt or
concrete surfaces in or around Olympic Stadium without proper float
materials (planking, plywood, rubber mats, tires etc). This policy will be
strictly enforced and all damages will be charged back to the responsible
exhibiting company.
Float materials are the responsibility of the exhibiting company.

All exhibits must be complete by 7pm Thursday, April 2nd . Aisle carpets will
be laid after 7pm Thursday. Absolutely no dollies will be permitted in the
exhibit halls after that time.
MOVE-OUT
Move-out will begin for ALL EXHIBITORS immediately following the show closing at
5pm, Saturday, April 4th. All Exhibitors displays and product must be removed
from the facility by 12 MIDNIGHT Saturday, April 4th
.
IMPORTANT NOTICE
Exhibit materials, booths, etc, which are not removed from the facility by the
exhibitor or his/her agent by 12 MIDNIGHT Saturday, April 4th will be
removed by the Official Show Carrier and delivered to the exhibitor at
his/her expense.
NOTE: No exhibit may be removed in part or in whole prior to the close of
the Trade Show at 5pm Saturday, April 4th

The overwhelming response to Expo Grands Travaux has been fantastic. Now is the time to turn our
attention to audience building, so as a result, we are coming to you our best resource with the hope
that you will eagerly participate in our audience promotion campaign.
Attached you will find a Fax Order Form for free passes and posters. Please fax this back to our office
as soon as possible. We will then print the forms and send them to you for distribution to your customers
and prospects. All posters and free passes are printed and shipped at no charge to you.
There are a variety of ways in which these forms can be distributed. Our experience tells us that the
methods I have listed below are very effective:
(a) Your sales team as they make their sales calls.
(b) Parts/service counters/Reception areas. Your customers can pick them up when they come to
your business
(c) Mail-outs/Invoices. Put one in with your invoices, customer thank you's or mail to your customer dbase.
(d) Newsletters/Inserts. Stuff one in your company newsletters, staff memos, etc.
Please keep in mind that these are not meant for your staff who will be working your booth. You
will receive a form for badges for your staff when you receive your Exhibitor Manual.

1. AVIS Les prix réguliers de chaque unité sont sujets à une majoration pour
les commandes reçues lors de la période de montage de votre exposition.

2. Le coût pour un service continu de 24-heures pour alimenter des appareils
électriques est additionnel et doit être commandé une semaine d’avance.
Notice: There will be an increase in regular prices for each unit ordered
during the move-in of your show.
2.
Cost for 24-hour continuous service of electrical equipment is additional and
must be ordered one week in advance.
3.
Any exhibitor requiring load in excess of above should notify Électro
Perfomance G.L. inc.
4.
All material supplied by Électro Perfomance G.L. inc., for the installation,
rental and maintenance of the electrical works romains the property of
Électro Perfomance G.L. inc.
5.
The price of an outlet includes the supply of this outlet at the rear of the
exhibitor’s booth. Any connecting or disconnecting such as to machine terminals is an additional charge.
6.
Prices and labour rates are based on current wage scales and may be subject to change without notice .
7.
Telephoned orders are at the exhibitor’s risk and must be verified in writing
within 24 hours to ensure contractor’s continuing action.
8.
All claims on electrical charges most be filed prior to the closing of the show
to be considered.
9.
No power sharing: Power that is rented by the exhibitor of by a supplier on
behalf of the exhibitor or by any orther customer is for use in only one exhibit
or booth and cannot be shared with another exhibit or booth. I.e. an 800 watt
or a 1500 watt outlet or 100 amp. service, etc., rented by one customer, supplier or exhibitor cannot be broken up in to smaller units of power and used
free of charge in another customer ‘s booth or exhibit. The party that ordered
the power, will be responsible for the payment of the power supplied to these
other booths as well as for the payment of the electrical power originally
ordered, all as per listed catalogue prices. The minimum charge to any one
exhibitor using power is for one 800 watt outlet at current prices.
3. Tout exposant possédant des appareils ou systèmes électriques qui

4. Tout matériel fourni par Électro Perfomance G.L. inc. pour l’installation, la
location et l’entretien du matériel électrique demeure la propriété de
Électro Perfomance G.L. inc.
5. Le prix indiqué pour la prise de courant comprend l’installation de la prise
à l’arrière du stand. Toute connexion ou disjonction aux bornes d’appareils
fait l’objet d’un tarif additionnel.
6. Les prix et les tarifs pour la main-d’oeuvre sont basés sur l’échelle de
salaires courante ou peuvent être sujets à changement sans préavis.
7. Électro Perfomance G.L. inc. n’assume aucune responsabilité pour les
commandes téléphoniques à moins que celles-ci n’aient été confirmées
par écrit, dans les 24 heures.
8. Pour être prise en considération, toute réclamation au sujet des frais
encourus pour l’installation électrique devra être présentée avant la clôture de l’exposition.
9. Interdiction : Il est interdit à quiconque de partager ou de re-distribuer le
courant électrique loué par un exposant ou pour le compte d’un exposant.
Le courant électrique loué est pour l’usage exclusif de ce dernier dans son
stand ou étalage et ne peut être acheminé ailleurs. Example : Une prise de
courant de 800 w, de 1500 w, ou une alimentation électrique de 100
ampères, loué par un client, fournisseur ou exposant ne doit pas être réparti
et redistribué vers l’étalage ou le stand d’un autre exposant. Dans un tel
cas, tout individu ou compagnie qui aura passé la commande de location
d’électricité, devra aussi assumer le coût du ou des services d’électricité
fourni aux autres stands en plus des services d’électricité qu’ils auront
commandés. Le tarif minimum chargé à tout exposant utilisant un service
d’électricité est le coût d’une prise de courant 800 w au tarif en vigueur.
Règlementation
1. Le comité d’examinateurs à le pouvoir de refuser les installations électiques qui présenteraient des risques de feu et qui ne rencontreraient pas
les exigences du Fire Underwriters Investigation Bureau of Canada.
2. Tous les moteurs de plus d’un 1/2 C.V. doivent être munis d’un démarreur
magnétique et d’un sectionneur.
3. Pour fins d’inspection et de dépannage, les fils électriques des stands préfabriqués doivent être en tout temps facilement accessibles des deux
côtés et de l’arrière du stand.
4. La compagnie Électro Performance G.L. inc. ne se rend pas responsable
des dommages résultant des pannes d’électricité ou des défectuosités
dans les appareils nécessitant un service électriques de 24 heures.
5. Aucun circuit individuel d’éclairage ne pourra dépasser les 1,500 watts.
Lorsque le circuit électrique d’un stand est muni de fusibles et qu’il
dépasse les 2,000 watts ou 2 circuits, ledit stand devra être pourvu d’un
câble d’alimentation 120-208 volts triphasé.
6. Il n’est pas nécessaire de débrancher les appareils ne fonctionnant pas
après les heures de fermeture; le courant électrique est automatiquement
coupé au panneau central. Il est strictement défendu de couvrir les lampes
de papier, de tissu ou de toute autre matière inflammable durant la nuit.
7. Au moment de la fermeture chaque jour, l’exposant devra lui-même fermer
les interrupteurs de tous les appareils en opération.
8. Votre matériel devra être prêt pour le démantèlement dès la clôture de
l’exposition. Vous devrez également débrancher tous vos appareils électriques car le courant sera immédiatement coupé.
Les prix indiqués comprennent l’installation complète de tous les câbles
d’alimentation, tableaux et fils, les frais d’inspection et d’entretien ainsi
que l’enlèvement du matériel électrique à la fin de l’exposition. Tout le
matériel demeure la propriété de Électro Perfomance G.L. inc.
Indemnité d’annulation
Après le début d’installation, toute annulation
sera facturée à 50 % du coût original.

All motors above 1/2 H.P. must be supplied with their own starters and
disconnecting switches.
3.
Specialty built displays and panels must have electrical wiring accessible for
inspection and trouble shooting at all times; they must be accessible from
sides or rear and not solidly built-in.
4.
Électro Perfomance G.L. inc. is not responsible for power failure or any other
equipment failure and resulting damages on 24-hour electrical service lines.
5.
No individual lighting circuit shall exceed 1500 watts of lighting .Where the
exhibitor furnishes his own fuse protection for a display board and wattage is
over 2,000 or 2 circuits, the board shall be wired for 120-108 volts 3-wire main
feed lines.
6.
Do not disconnect any Non-Operating Electrical units at closing hour of the
show,These are turned off at the main swicthboard automatically . Do not
cover lamps with paper, cloth or any other in inflammable material overnight.
7.
Exhibitor must himself disconnect the control switch in his booth of all moving
or operating devices before leaving at the closing hour of each show period.
8.
Before show breaks on final day, stop your machinery for dismantling position, because power cannot by turned on again for hours after.
The above prices cover complete installation of all necessary Feeders .
Panels and Circuit Wiring Inspection Fees. Maintenance Electricians and
Dismantling of Electrical Equipment at end of Exhibition . All material remains
the property of Électro Perfomance G.L. inc.
Cancellation Policy

Rental prices listed above are for the whole show period, based on delivery
the day prior to the show. The customer is liable for loss or damage to the
equipment during the show until CCR employees arrive to remove it at the
end of the show .
Orders received prior to the Order Deadline indicated above will be
processed at the early bird discounted prices shown on this form. Orders
received after the order deadline will be at CCR's regular published rates.
Cancellations
1. Cancellations of equipment and services must be received 2 weeks prior
to the start of the show
2. If equipment and services have already been provided at the time of the
receipt of the cancellation notice, the full original charges will apply
